We are seeking a Construction Billing Specialist / Bookkeeper to support our accounting operations and help ensure accurate and timely revenue processing. This role is responsible for managing accounts receivable, processing incoming payments, issuing invoices, and maintaining accurate financial records.
The ideal candidate will have experience with construction billing, AIA payment applications, and QuickBooks, and be comfortable working closely with project management and operations to track project billing and payments.
This position requires strong attention to detail, organization, and the ability to follow up on outstanding receivables while maintaining professional communication with clients.
Compensation is based on experience and qualifications.
Responsibilities
- Assist with preparation and submission of AIA progress billing and related construction payment documentation.
- Receive and process incoming payments, ensuring accuracy, authenticity, and proper documentation.
- Monitor account balances and review account statuses to identify discrepancies or inconsistencies.
- Generate and post bills, receipts, and invoices in a timely manner.
- Verify that all accounts receivable records are accurate and up to date.
- Communicate with clients regarding outstanding balances and payment deadlines.
- Follow up on overdue receivables and assist with collections as needed.
- Collaborate with the Operations Manager to prepare payment requests through QuickBooks and/or AIA payment applications.
Skills
- Proven experience as a Billing Specialist or in a similar accounts receivable role.
- Strong understanding of billing processes, financial recordkeeping, and accounts receivable management.
- Knowledge of applicable laws and best practices related to handling customer information and financial data.
- Strong numerical skills and ability to accurately process financial information.
- Proficiency in Microsoft Office, particularly Excel.
- Experience using QuickBooks and other Intuit products.
- Familiarity with AIA billing, contracts, and construction-related invoicing.
- Excellent attention to detail and strong organizational skills.
- Results-driven with the ability to meet deadlines and follow up on outstanding receivables.
- Proficiency in English required; bilingual (English/Spanish) skills are a plus.
- Experience with construction billing software and payment applications (e.g., AIA).
- Understanding of company-wide and project-specific budgets.
- Prior experience in the construction industry required.

Pay: $55,000.00 - $65,000.00 per year
