Construction Contract Coordinator

As we continue to expand, we are looking for talented professionals who can help strengthen our internal operations and support successful project delivery.

We are seeking a Construction Contract Coordinator to join our team and play a key role in managing project documentation, contract administration, and compliance processes.

Position Overview

The Construction Contract Coordinator will support the lifecycle of contracts and project documentation from preconstruction through closeout. This role will work closely with Project Managers, Estimating, Accounting, and Operations to ensure contracts, subcontracts, change orders, and compliance documents are accurate, organized, and executed in a timely manner.

The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working in a fast-paced construction environment.

Key ResponsibilitiesContract Administration

  • Prepare, review, track, and maintain contracts, subcontracts, purchase agreements, and related project documents
  • Assist with contract execution and ensure all required signatures and approvals are obtained
  • Maintain contract logs, renewal dates, deadlines, and key milestones
  • Support change order documentation and tracking processes

Compliance & Risk Management

  • Collect and maintain vendor and subcontractor compliance documents such as insurance certificates, W-9s, licenses, and lien releases
  • Help ensure subcontractors and vendors meet company requirements before work begins
  • Monitor expiration dates and follow up on missing or updated documentation
  • Support internal controls and document retention standards

Project Support

  • Coordinate with Project Managers and field teams regarding contract status, scope changes, and documentation needs
  • Assist with bid package administration and subcontractor onboarding
  • Help prepare project closeout documents and final records
  • Support communication between internal departments and external partners

Administrative & Reporting

  • Maintain organized digital and physical contract files
  • Enter and track data within company systems
  • Generate reports related to contracts, compliance, and project documentation
  • Assist leadership with special projects and process improvements

Qualifications

  • Previous contract administration, project coordination, or construction administration experience preferred
  • Experience in construction, heavy civil, utilities, or related industry strongly preferred
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities and deadlines
  • Strong written and verbal communication skills
  • Proficient with Microsoft Office (Excel, Outlook, Word)
  • Experience with ERP or project management software is a plus
  • Bilingual English/Spanish is a plus
