Construction Management Project Administrator

Overview:

Growing construction management firm seeking professional, self-sufficient, organized & flexible Project Administrator. This individual must have experience as a Project Administrator in Construction Management, General Construction, or similar role with skills that will transfer well into this position. The Project Administrator plays an integral role in maintaining the flow and progression of multiple capital construction projects at a given time. This individual will work side by side with with Construction Managers and Superintendents to support project goals.

Essential Duties and Responsibilities:

1. Assist Project Management with advanced tasks such as submittals, Requests for Information (RFIs), meeting minutes and the monthly requisition process, as needed.

2. Assist with the processing of prime contracts and insurances as needed.

3. Receive and review weekly Certified Payroll Reports of all prime contractors and subcontractors for Davis Bacon/ Prevailing Wage compliance. Confirm accuracy of payroll reports with daily logs.

4. Assist the project team with closeout coordination such as the preparation and distribution of project punch lists, preparation of Operation & Maintenance (O&M) manuals and archiving all project documentation.

5. Type, fax, copy, transcribe and distribute project documents and correspondence such as the prime contracts and purchase orders, and create and maintain paper and electronic project files.

6. Sort, distribute and follow-up on project communications, including, mail, email, fax, and shipments. Prepare outgoing project correspondence in a timely manner, meeting necessary deadlines.

7. Maintain and track project information in Pro Log Manager, Submittal Exchange, Newforma, or other construction management software as required.

8. Assist with the development and implementation of new procedures as designated by the Project Executive and Project Manager.

9. Must work well with project team and manager(s) to achieve departmental and company objectives as well as project-specific goals.

10. Coordinate and/or participate in project and team meetings as needed.

11. Once seasoned in this position you may be asked to assist in training new staff, if assigned.

12. Maintain personal, office and jobsite space (if applicable) in a neat and organized manner.

13. Perform additional tasks as assigned by project team members or supervisors.

14. Submit requests to Administrative Assistant for supply needs in office(s) or project site(s).

15. Assist with office phones and reception when necessary.

16. Periodic travel to jobsites or meetings.

Required Skills:

· Exceptional written and oral communication skills

· Excellent organizational, interpersonal, and multitasking abilities

· Flexibility in response to change of direction, even on short notice

· Must maintain professionalism in all interactions with clients, co-workers and other agencies working with the company

· Strong computer skills with the ability to learn new programs as needed

· Proficiency in MS Office Suite including Word, Excel, Publisher and PowerPoint.

Education and Experience:

  • Prior construction management experience preferred, but not required.
  • This position requires two or more years’ experience performing work in the role of Project Administrator or similar administrative position with skills that will transfer well into this role.
  • A college degree in a related field of study is preferred but not required for candidates with proven past work experience.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Perform repetitive movements, such as filing, typing, using mouse and keyboard
  • Must be able to lift objects up to 25 pounds at times
  • Travel within the Hudson Valley may be required up 40% of the time. The Project Administrator must have a valid driver’s license and their own means of transportation to complete some of the essential duties of the job, including attending in-person meetings when necessary and periodic travel to other office locations.

Salary commensurate with experience.

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
