Job Description
We are seeking an experienced Construction Office Manager / Bookkeeper to take ownership of our day-to-day financial tracking, subcontractor compliance, and administrative operations. The ideal candidate is a self-starter who understands the construction industry, thrives on organization, and can confidently manage everything from accounts payable to building permit applications. You will be the backbone of our office, ensuring our projects stay financially tracked and allow the other members of the team to pursue their scope of work.
Responsibilities
- Financial & Accounting:
- Manage Accounts Receivable (AR) and Accounts Payable (AP).
- Process client invoicing and prepare monthly construction draws/progress billings (lien waivers, AIA forms, etc.) in conjunction with our Project Managers.
- Reconcile bank accounts and credit cards using Quickbooks.
- Subcontractor & Compliance Management:
- Collect, verify, and track Subcontractor Certificates of Insurance (COIs) and W-9s to ensure compliance prior to a job commencing.
- Monitor insurance expiration dates and request renewals proactively.
- Project & Office Administration:
- Assist project managers with preparing and submitting building permit applications to local municipalities.
- Maintain organized digital and physical project files.
Skills
- Experience: Minimum of 2–3 years of experience in bookkeeping or office management specifically within the construction or contracting industry (Required).
- Software Proficiency: Strong experience with QuickBooks Online /Procore /MS Excel.
- Industry Knowledge: Solid understanding of construction draws, lien waivers, and COI requirements (General Liability, Workers' Comp, Additional Insured endorsements).
- Attributes: Exceptional attention to detail, strong communication skills, and the ability to multitask without dropping the ball.
Pay: $25.00 - $35.00 per hour
