Construction Office/ Project Assistant (Construction Management, Accounting & Permits)

Join our dynamic construction management team as a Construction Office/Project Assistant, where your organizational skills and attention to detail will drive the success of our projects. This role offers an exciting opportunity to support construction operations, manage project documentation, handle permits, and assist with accounting processes. You will be the backbone of our office, ensuring smooth communication and efficient workflow across multiple projects. All roles are paid positions, including internships.

Responsibilities

  • Provide comprehensive administrative support to project managers and construction teams, including scheduling meetings and maintaining calendars.
  • Manage project documentation such as contracts, permits, blueprints, and reports with accuracy and confidentiality.
  • Assist with permit applications, renewals, and compliance tracking to ensure all projects meet local regulations.
  • Support construction accounting activities by processing invoices, tracking expenses, and maintaining financial records using QuickBooks or similar software.
  • Handle front desk duties including greeting visitors, managing multi-line phone systems, and providing excellent customer service.
  • Maintain organized filing systems—both physical and digital—and perform data entry to update project databases efficiently.
  • Coordinate communication between contractors, vendors, clients, and internal teams through email correspondence and phone etiquette.
  • Support office management tasks such as supply ordering, calendar management, proofreading documents, and ensuring office equipment functions properly.

Requirements

  • Proven experience in office management or administrative roles within construction or related fields.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
  • Familiarity with QuickBooks for bookkeeping and basic accounting tasks.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Attention to detail in proofreading documents and data entry accuracy is essential.
  • Strong time management skills with the ability to handle multiple deadlines simultaneously.
  • Personal assistant or clerical experience preferred; familiarity with construction permits or project documentation is preferred. Pay: $22.00 - $26.00 per hour
