Job Summary:

We are seeking a process-driven Construction Project Coordinator to join our Design+Build+Manage (DBM) division. This role provides essential support to ensure construction projects run smoothly from start to finish. This role involves managing project documentation, tracking invoices, coordinating project intake, scheduling site evaluations, and monitoring project timelines and deliverables. The coordinator also facilitates communication between the DBM team, transaction managers, and franchisees, while assisting with procurement of materials and services. The ideal candidate is highly organized, detail-oriented, and capable of keeping projects on track and aligned with company standards.

Key Responsibilities:

  • Prepare, file, and organize construction documents, ensuring all project-documentation is complete, compliant, and up to date.
  • Upload project-related documents into proprietary software (e.g., Vision Track) to maintain accurate records.
  • Track project invoices and ensure timely submittal to the finance team.
  • Manage Project Intake Forms and coordinate with franchisees, transaction managers, and other teams to initiate new projects efficiently.
  • Follow up with franchisees and transaction managers to ensure timely registration and participation in Design+Build+Manage (DBM) services.
  • Maintain accurate records of DBM service sign-ups and progress.
  • Act as a liaison between transaction managers and the DBM team to facilitate smooth project workflows.
  • Schedule site evaluations and track completion of project deliverables.
  • Monitor project timelines, deliverables, and documentation status to ensure milestones are met.
  • Coordinate communication between office staff and field teams to align on project requirements and progress.
  • Assist with procurement of materials, equipment, and services as needed to support projects.


Skills & Qualifications:

  • 2+ years of experience as a Project Administrator, Project Coordinator, or in a similar project support role, preferably in the commercial construction industry.
  • Knowledge of construction project processes, terminology, and documentation.
  • Experience with documentation management, scheduling, timeline tracking, and procurement support.
  • Excellent verbal and written communication skills, with the ability to guide teams and foster cross-functional collaboration.
  • Proficiency in Microsoft Office and project management software/tools.
  • Strong analytical and problem-solving skills, with the ability to identify issues and make effective decisions.
  • Highly organized and process-driven, capable of managing multiple projects simultaneously, prioritizing tasks, and meeting deadlines in a fast-paced environment.
  • Ability to work both independently and collaboratively within a team-oriented environment.


Work Schedule: Corporate Office, Monday through Friday.
