Starting Pay

$26/hour + Benefits (Health, Dental, Vision, Sick Time, EAP)

Schedule & Location

  • Hours: 8:30 AM – 5:00 PM, Monday–Friday
  • Location: In-office at Sustineo Construction headquarters

Key Duties & Responsibilities

Project Administration

  • Work on the administrative side of Procore and SiteDocs (data entry, updates, and organization)
  • Support project managers with scheduling and task coordination
  • Assist with procurement requests and vendor communication

Office Management

  • Oversee daily office operations, including supply inventory and vendor coordination
  • Order uniforms, PPE, and safety gear for field teams
  • Support leadership with meeting preparation, agendas, and reporting
  • Assist with onboarding processes and maintain organized filing systems
  • Receiving and sending mail.

Fleet Coordination

  • Manage company vehicle compliance and Coast card administration
  • Maintain approved driver lists and verify insurance requirements
  • Track mileage, schedule maintenance, and audit fleet assignments

Accounts Payable (AP) Support

  • Review and process vendor invoices for accuracy and coding
  • Assist with AP data entry and reconcile purchase orders with invoices
  • Communicate with vendors regarding payment status and discrepancies

Compliance & Confidentiality

  • Ensure adherence to California privacy laws and company confidentiality policies
  • Maintain secure handling of sensitive employee and vendor information

Requirements

  • High school diploma or equivalent (Associate’s preferred)
  • Basic computer skills (Microsoft Office; Procore a plus)
  • Strong organizational and communication skills
  • Ability to work full-time in-office
  • Interest in learning Accounts Payable processes and project coordination

Physical & Ergonomic Requirements

  • Ability to sit at a desk and use a computer for extended periods
  • Occasional lifting of office supplies or PPE boxes (up to 20 lbs)
  • Ability to bend, reach, and move within the office environment
  • Regular breaks encouraged to reduce strain; ergonomic workstation provided
