We are seeking a Construction Purchasing Coordinator to join our team and play a key role in purchasing, vendor coordination, and material management for active construction projects.
Position Overview
The Construction Purchasing Coordinator will be responsible for supporting procurement activities across multiple projects by sourcing materials, processing purchase orders, coordinating deliveries, and maintaining strong vendor relationships. This role is critical in ensuring crews and project teams have the materials, equipment, and resources needed to stay productive and on schedule.
The ideal candidate is organized, proactive, detail-oriented, and experienced in a fast-paced construction environment.
Key Responsibilities
Purchasing & Procurement
- Create, issue, and track purchase orders for materials, tools, rentals, and services
- Obtain quotes and compare pricing from vendors and suppliers
- Negotiate pricing, lead times, and delivery schedules when appropriate
- Ensure purchases align with project budgets and company standards
- Monitor open orders and follow up on pending deliveries
Vendor & Supplier Coordination
- Build and maintain strong relationships with vendors and subcontractors
- Research and onboard new vendors as needed
- Maintain vendor files including W-9s, insurance certificates, and agreements
- Resolve order discrepancies, shortages, damaged materials, or billing issues
Project Support
- Work closely with Project Managers, Superintendents, Yard, and Operations teams to understand project needs
- Coordinate material deliveries to jobsites and company yard locations
- Help prioritize urgent field requests while balancing cost and efficiency
- Track rentals, returns, and equipment-related purchases
Administrative & Reporting
- Maintain accurate purchasing records and documentation
- Enter data into company systems and track job cost allocations
- Assist with invoice matching and communication with Accounting
- Prepare reports related to spending, vendor usage, and purchasing trends
Qualifications
- Previous purchasing, procurement, or coordination experience in construction preferred
- Experience in heavy civil, utilities, sitework, or infrastructure construction is a plus
- Strong organizational and multitasking skills
- Ability to work with urgency and meet deadlines
- Strong communication and vendor management skills
- Proficient with Microsoft Office (Excel, Outlook, Word)
- ERP/accounting system experience preferred (Sage 100 experience is a plus)
- Bilingual English/Spanish is a plus
