Position Summary

IBBI is seeking a detail-oriented and organized Supply Chain Contract & Project Coordinator to assist in the coordination and administration of supplier contracts, Requests for Quotations (RFQs), and auxiliary projects that support IBBI's supplier relationships. This role provides key support in document preparation, contract tracking and lifecycle management, project organization, and process documentation to help ensure accurate execution and timely communication across IBBI initiatives.

This is an ideal role for a detail-oriented and organized professional with experience in contracts, procurement, or supply chain operations.


Key Responsibilities

  • Contract Coordination & Documentation
  • Assist in preparing, reviewing, and editing Preferred Supplier Agreements, NDAs, Special Pricing Agreements (SPAs), and contract amendments and extensions.
  • Maintain a tracking system to manage contract lifecycles, including renewals, expirations, and key milestones.
  • Ensure contract files and supporting documents are properly organized and up to date.
  • Help refine and standardize contract templates and supporting materials.
  • Refine and update standard operating procedures and templates to support contract administration processes.
  • Assist in developing and issuing RFQs for material and non-material supply programs.
  • Collect and organize RFQ responses for review by IBBI leadership and committees.
  • Support the preparation of summary reports and presentation materials outlining supplier options and cost comparisons.


Project Coordination & Strategic Support

  • Coordinate auxiliary projects supporting the cooperative’s supply chain initiatives, including cost-saving and risk mitigation efforts.
  • Organize and facilitate meetings (e.g., preparing agendas, tracking action items, and documenting follow-ups).
  • Contribute to strategic presentations, including board updates and program reports.
  • Support legal operations, due diligence requests, and compliance tracking.
  • Process Improvement
  • Identify and recommend process improvements for contract and project workflows.
  • Help develop internal tracking systems for contract milestones and program performance metrics.
  • Assist with database management and improved utilization of data management software


Qualifications

  • Bachelor’s degree in business, supply chain management, legal studies, operations, or a related field.
  • 4–6 years of relevant experience in contract management, project coordination, procurement, or legal operations.
  • Demonstrated experience preparing and reviewing commercial contracts or vendor agreements.
  • Exceptional attention to detail and ability to manage sensitive or confidential information with professionalism.
  • Proficiency with Microsoft Office suite; experience with contract management or project management software systems is a plus
  • Strong written and verbal communication skills; confident presenting to stakeholders and committees.
  • Able to work independently while managing multiple concurrent projects.
  • Familiarity with manufacturing or marine industries is preferred.
