Contracts and Billing Specialist (Remote)

TRiNDS is seeking a full-time Contracts and Billing Specialist. The Contracts and Billing Specialist will work under the direction and guidance of the TRiNDS Operations Manager.

Primary Responsibilities:

  • Coordinate the lifecycle of contracts by tracking status, facilitating communication between internal TRiNDS’ stakeholders and Sponsors, and ensuring timely progression throughout the negotiation and execution processes
  • Review contracts for completeness and consistency, escalating non-standard terms or discrepancies to Legal as appropriate
  • Maintain contract records, including tracking renewals, amendments, and expirations
  • Prepare invoices for entry and distribute finalized invoices in accordance with executed agreements and study activity
  • Enter and track payments, monitor accounts receivable aging, and escalate overdue items as needed
  • Track vendor invoices and study-related expenses, including travel expenses associated with clinical activities, ensuring alignment with contract terms
  • Coordinate with Finance to support timely payment of vendors and accurate billing of pass-through expenses to Sponsors
  • Maintain accurate records and reporting in internal systems and Excel, and support ongoing process improvements
  • Provide additional administrative support related to contracts and study-related financials as requested

Qualification Requirements:

  • Bachelor’s degree in Business, Finance, Healthcare Administration, or a related field, or equivalent experience
  • 1–3 years of relevant experience in contracts administration, billing, finance support, or operations in a CRO, life sciences, or professional services environment (preferred)
  • Demonstrated proficiency in Microsoft Excel and experience working with pivot tables and macros
  • Strong attention to detail, organizational skills, and ability to manage competing priorities
  • Effective written and verbal communication skills
  • Exposure to invoicing, accounts receivable, or study related financial tracking (preferred)

This position is primarily remote/work from home. The preferred candidate will reside in FL, MD, NC, NH, PA, SC, TN, TX, UT or WA. Some travel may be required for training and the annual company retreat.
