JOB SUMMARY

Within the framework of the Mission, Vision, and Values of the Sisters of St. Joseph, the Controller is responsible for overseeing all company financial and accounting activities, ensuring accuracy in financial reporting, compliance with regulatory requirements, and the implementation of strong internal controls. This role involves managing the finance office staff, preparing financial statements, analyzing financial data, and supporting strategic decision-making. Provides financial data to the Los Angeles Corporation Board, Congregational Leadership Team, the Chief Financial Officer (CFO) and the Congregational Treasurer (CT) for decision-making purposes.

QUALIFICATIONS

Education

  • A Bachelor's Degree in Accounting is required.

Professional designation

  • Certified Public Accountant designation is an asset but not necessary.

Knowledge, skills, and abilities

· 5 to 7 years of progressive financial responsibility.

  • Experience with a religious organization is highly desired but not necessary. Nonprofit accounting experience is desired.
  • Knowledge of generally accepted accounting principles.

Computer Skills:

Proficient in the use of the Microsoft Office suite of applications, SAGE accounting software, online communities, ZOOM, Teams and other emerging technologies.

DUTIES & Responsibilities

Financial accounting and reporting

  • Actively supervise the Finance Office staff.

Prepare accurate monthly Financial Statements with an executive summary for the CFO. Review monthly results and prepare monthly variance analysis, including budgets for contracts and capital outlay.

  • Oversee the preparation of the monthly department reports.
  • Develop, implement, and ensure compliance with internal controls and financial and accounting policies and procedures.
  • Review statutory requirements, including Charitable Status, Withholding Payments, and Income Tax.
  • Coordinate and engages in the preparation of the annual budget with the CFO and the CT.
  • Prepare all supporting information for the annual audit, prepare the annual Financial Statements, and work extensively with the external auditors as necessary.

· Prepare and review with department managers the monthly or quarterly department reports.

  • Develop and maintain financial accounting systems for cash management, accounts payable, accounts receivable, and petty cash.
  • Review monthly bank reconciliations.
  • Prepare monthly investment reconciliations.
  • Manage the cash flow and prepare cash flow forecasts in accordance with policy, including the selection of invoices for check runs.
  • Oversee the bookkeeping functions, including maintenance of the general ledger, accounts payable, accounts receivable, and payroll.
  • Serve as the backup staff for the preparation of the payroll using Summit Payroll system.
  • Implement policies and procedures to ensure that financial information is secure and stored in compliance with policies and procedures.
  • Manage the acquisition of capital assets to ensure that assets are properly recorded, including preparing and maintaining a Fixed Asset Classic Schedule.
  • Monthly reconciliations of the Sisters’ Patrimony Account. Assist the CT with approved transfer requests.
  • Assist the CFO with various projects as requested.

Tax Returns

  • Coordinate the preparation of income tax returns for all Sisters.
  • Prepare all Forms 1099 for qualifying vendors and Sisters who have Patrimony.

Budgets

  • Coordinate and prepare the annual budget.
  • Assist Department Managers in the preparation of annual department budgets as needed.

Office Administration

  • Oversee and supervise the administrative function of the Finance Office, including the safety of the work environment and provision of furnishings and equipment necessary for effective operations.
  • Actively manage Paid Time Off to ensure that the Finance Office is adequately staffed at all times.
  • Conduct annual staff reviews.
  • Ensure adherence to the records retention policy.

Performs other job-related duties as assigned.

WORK ENVIRONMENT

This job primarily operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers. This position requires in office attendance for all Finance Office Staff.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is required to frequently stand, walk, use hands or fingers, handle or feel, and reach with hands and arms. Prosthetic devices may be used to ensure the position's requirements are met. The employee must frequently lift and/or move objects up to 10 pounds, including pushing and pulling. The employee must be able to self-transfer and move throughout the facility. The employee must be able to perform effectively with frequent interruptions and the mental and emotional stress of the position. Flexibility with the work schedule may be necessary.
