Overview
We are seeking a highly organized and proactive Controller/Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong leadership skills and a comprehensive understanding of office management practices. This role requires a detail-oriented individual who can manage multiple tasks effectively while ensuring a productive work environment. The Controller/Office Manager will be responsible for coordinating administrative functions, supervising staff, and maintaining efficient office operations.
Duties
- Expertise in the Construction Industry with a focus on Accounting, Bookkeeping, Account Payable & Receivable
- Work with Unions & prepare Union Payroll
- Be able to prepare certified payroll for contracted jobs
- Prepare financial reports , bank deposits and W-2's
- Manage scheduling, including calendar management for executives and staff.
- Handle vendor management, including negotiating contracts and maintaining relationships with suppliers.
- Maintain accurate financial records through bookkeeping practices, including payroll processing and budgeting.
- Proficient in Quickbooks (Contractors Edition), Outlook, Power Point, Excel, AIA Contract Documents, Quantam & Procore,
- Ensure proper filing systems are in place for both physical and digital documents.
- Manage front desk operations, including handling multi-line phone systems and maintaining professional phone etiquette.
- Foster effective communication within the team and across departments to promote collaboration.
Qualifications
- Proven experience in office management or a similar administrative role.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both verbal and written.
- Proficiency in QuickBooks or similar accounting software is preferred.
- Experience with schedule management and calendar coordination.
- Familiarity with human resources practices and payroll processing is a plus.
- Background in office management is advantageous but not required.
- Demonstrated supervisory experience with the ability to lead a team effectively.
- Strong attention to detail with excellent clerical skills.
- Ability to manage multiple projects simultaneously while meeting deadlines. Pay: $85,000.00 - $90,000.00 per year
