Controller - Erie Yacht Club

Job Title: Controller

Reports To: General Manager
Department: Finance / Administration
Status: Full-Time, Exempt

Position Summary

The Controller is responsible for overseeing all financial and accounting operations of the Erie Yacht Club, ensuring the integrity of financial reporting, strong internal controls, regulatory compliance, and strategic financial leadership. This position serves as the senior financial professional of the Club and partners closely with the General Manager and Board to provide accurate reporting, budgeting leadership, cash flow management, and financial insight across club, marina, and food & beverage operations.

Key Responsibilities

Financial Leadership & Reporting

· Oversee all accounting functions including general ledger, journal entries, and month-end and year-end close processes

· Prepare and present timely, accurate monthly financial statements and supporting analysis for management and Board review

· Develop executive-level financial summaries and dashboards

· Monitor cash flow, capital reserves, debt obligations, and special assessments

· Ensure accurate reconciliation of bank accounts, credit cards, loans, and balance sheet accounts

· Provide strategic financial recommendations to the General Manager and Board

Accounts & Member Financial Operations

· Direct oversight of accounts payable, accounts receivable, payroll, and member billing

· Ensure accurate billing for member dues, slip fees, storage, fuel, food & beverage, events, and other club services

· Monitor receivables, aging reports, and collections in accordance with club policies

· Oversee internal controls related to cash handling, POS systems, and marina operations

Budgeting, Forecasting & Strategic Planning

· Lead development of the annual operating and capital budgets in partnership with department heads

· Prepare rolling forecasts and long-term financial projections

· Monitor budget vs. actual performance and deliver variance analysis with operational recommendations

· Support capital planning, marina improvements, and facility investment analysis

Compliance, Audit & Internal Controls

· Ensure compliance with GAAP and all applicable federal, state, and local regulations

· Coordinate annual financial reviews, audits, and tax filings with external CPAs

· Develop, implement, and maintain strong internal controls, policies, and procedures

· Oversee insurance, licensing, and regulatory compliance matters

Operational & Departmental Partnership

· Partner with department heads (Marina, Food & Beverage, Membership, Events) to ensure accurate financial tracking and performance management

· Provide departmental financial reporting and KPI analysis

· Support operational decision-making through margin analysis, pricing review, and cost controls

· Oversee fixed asset tracking and depreciation schedules

Systems & Administrative Oversight

· Maintain and optimize accounting systems, POS integrations, and member management platforms

· Lead financial system upgrades, reporting improvements, and process automation

· Supervise accounting and/or Club Office staff

· Establish best practices for financial data integrity and workflow efficiency

Qualifications

Required

· Bachelor’s degree in Accounting, Finance, or related field

· 5+ years of progressive accounting experience, including supervisory experience

· Strong knowledge of GAAP and financial reporting

· Advanced proficiency in accounting software (QuickBooks) and Microsoft Excel

Preferred

· Experience in a yacht club, marina, private club, hospitality, or multi-department service business

· CPA or CMA designation

· Experience working with ownership groups or Boards

· Familiarity with club management (ClubSpot) and POS systems
