Controller / Finance Lead (Cash Flow & Operations Focus)
(“Fractional CFO” could also work if part-time or strategic-level)

Mission of the Role

Own the company’s financial health by actively managing cash flow, receivables, payables, and financial visibility—and translating numbers into clear weekly insights that help ownership and sales make better decisions.

Core Responsibilities1. Cash Flow Management (Top Priority)

  • Maintain a 13-week rolling cash flow forecast (updated weekly)
  • Monitor daily cash position (bank balances, inflows, outflows)
  • Identify shortfalls early and recommend actions
  • Optimize timing of payables vs receivables
  • Manage line of credit / banking relationships (if applicable)

2. Accounts Receivable (AR) – Aggressive & Structured

  • Own the full AR process:
  • Invoicing accuracy and timing
  • Collections strategy and follow-ups
  • Build and enforce:
  • Payment terms
  • Credit limits
  • Produce weekly:
  • AR Aging Report
  • “Top 10 overdue accounts” list
  • Partner with sales to:
  • Resolve disputes
  • Hold/release orders based on payment status

3. Accounts Payable (AP) – Controlled & Strategic

  • Manage outgoing cash with discipline:
  • Prioritize payments based on cash position
  • Capture early pay discounts when beneficial
  • Maintain vendor relationships while optimizing timing
  • Prevent duplicate or unnecessary payments
  • Weekly AP aging + payment plan

4. KPI Reporting (Weekly Cadence)

Deliver a simple, no-BS weekly dashboard to ownership + sales:

Cash & Liquidity

  • Cash balance
  • 13-week forecast snapshot
  • Burn rate (if relevant)

Receivables

  • Total AR
  • AR >30 / 60 / 90 days
  • DSO (Days Sales Outstanding)

Payables

  • Total AP
  • AP aging
  • Key upcoming obligations

Sales & Margins (Partnering with Sales Team)

  • Weekly revenue vs target
  • Gross margin %
  • Top customers / orders
  • Backlog

Inventory (critical for parts business)

  • Inventory value
  • Turns
  • Slow-moving / dead stock

5. Financial Operations & Accuracy

  • Oversee bookkeeping / accounting processes
  • Monthly close (fast and clean — ideally within 5–7 days)
  • Ensure accurate financial statements:
  • P&L
  • Balance Sheet
  • Cash Flow Statement

6. Strategic Support

  • Advise ownership on:
  • Pricing and margins
  • Working capital improvements
  • Cost control opportunities
  • Support growth decisions with data (not guesses)

Weekly Operating Rhythm

Daily (light touch)

  • Check cash balance
  • Review incoming/outgoing payments

Weekly

  • Update cash flow forecast
  • AR collections review
  • AP payment planning
  • Deliver KPI dashboard
  • 30-minute review with ownership
  • Optional: join sales meeting with key insights

Monthly

  • Close books
  • Financial statement review
  • Trend analysis

Key KPIs This Role Owns

  • Cash balance & runway
  • DSO (target: reduce consistently)
  • % of AR over 60 days
  • On-time collections rate
  • AP days (managed intentionally, not randomly)
  • Gross margin %
  • Inventory turns

Profile of the Right Person

You don’t want a “historical accountant.” You want:

  • Operator mindset (cares about cash, not just reports)
  • Comfortable pushing sales team on collections
  • Strong in Excel / financial modeling
  • Experience in distribution / parts / inventory-heavy business (huge plus)
  • Communicates clearly in plain English

What Success Looks Like (First 90 Days)

  • 13-week cash flow fully built and reliable
  • AR cleaned up and actively managed
  • Weekly KPI dashboard running like clockwork
  • Clear visibility into:
  • Who owes you money
  • What you owe
  • Where cash is going
  • Ownership no longer guessing about cash

Pay: $65,071.16 - $78,365.27 per year
