Controller:
Our current Controller/Office Manager will be retiring in October 2026. The candidate will have a chance to work alongside our current Controller, learning about the Club and operations until that point. This is an excellent transitional opportunity.
The Controller/Office Manager reports directly to the General Manager/Chief Operating Officer (GM/COO) and is responsible for all accounting functions, financial reporting, tech, payroll processing, and front office management. He or she will assist the General Manager on all matters relating to budget management, cost/benefit analysis, forecasting needs, and internal controls. The Controller will develop and implement procedures to control and coordinate accounting, auditing, budgets, taxes, and related activities and records. He or she will develop, establish, and administer procedures and systems pertaining to financial matters, prepare financial statements, forecasts, and analyses for administrative and managerial functions. The Controller will maintain all accounting records; develop, analyze and interpret statistical and accounting information, and evaluate operating results for costs, revenues, budgets, policies of operation, trends and increased profit possibilities. In addition to day-to-day financial operations, the Controller will supervise, schedule, and train the front office team (4).

Qualifications:
- Bachelor’s degree from a four-year college or university with concentration in business or administration with an accounting major or minor, and coursework in financial analysis and auditing.
- 3+ years of professional accounting experience: controller level or equivalent in club operations- preferred
- Jonas or comparable club software experience is necessary
- 501(c)(7) experience is preferred
- Impeccable and verifiable references required.
- Stable work history and desire to join a strong, tenured team; considers him/herself a self-motivator.
- Must be able to support a drug free workplace.
- Must have a collaborative management style allowing coordination between departments.
- Must have a strong command of oral and written communication skills relating to members, staff, vendor partners, and the community.
- Must have a strong understanding of technology relating to staff communication/social media, member website concepts, word processing and spread sheets.
- Ability to develop and maintain respectful relationships with key vendors and community partners.
Job Description
- Formulate, receive, and recommend policy procedures relating to accounting and auditing, the budget, revenue and cost control procedures, preparation and payment of payrolls, tax matters, compilation of statistics, office methods and procedures.
- Prepare the monthly trial balance and resulting financial statements for the Club, including the income statement, balance sheet and statement of changes in financial condition, along with required supporting schedules and other data necessary for financial reports and records.
- Reconcile monthly ledgers including receivables, payables, bank and other asset accounts, and wage accounts.
- Reconcile bank statements.
- Manage and conduct internal auditing programs to help ensure that records are accurately maintained and that established policies and practices are satisfactorily and consistently followed.
- Prepare operating budgets and financial forecasts in coordination with the various committees, departments, and General Manager; analyze financial information, monitor budgeted versus actual expenditures, and advise management about variances and their potential causes; recommend corrective actions to help ensure that budget goals are met.
- Work with the Club’s external auditors to ensure that procedures are consistent with Club policies.
- Prepare and verify reports made to agencies and trade and professional organizations for which dissemination is consistent with Club policies.
- Direct and verify the taking of inventories for beverages, food, supplies, equipment, furnishings and other Club assets. May directly participate in inventory collection.
- Prepare or supervise preparation of applicable federal, state and local tax returns.
- Prepare accounting reports as necessary and appropriate for dissemination to the board of directors, executive committee, and other Club committees.
- Maintain fixed asset ledgers and assist accountants with preparation of depreciation schedules for monthly entries.
- Prepare a full report of the financial year for presentation at the annual meeting by the Club’s Treasurer.
- Work with the General Manager and department heads to plan and manage capital budgets and cash flow statements.
- Coordinate publication of annual membership directory.
- Manage assigned projects as they relate to the department and Club’s needs.
- Manage cost of capital improvement projects and construction projects.
- Safeguard all funds in bank accounts; ensure that revenues are properly and correctly deposited and supervises the drawing of all checks.
- Manage, review, suggest, and monitor changes in the automated financial management and accounting system. Monitor and oversee member billing and collection procedures—A/R.
- Audit members and guests’ charges; checks cash sheets to ensure that all receipts for members’ accounts have been posted. Audit all cash and charge expenditures.
- Monitor collection of past due accounts; advise General Manager and Board when difficult situations may arise.
- Handle all accounts payable—A/P—duties.
- Compile, approve and maintain credit applications for vendors.
- Act as liaison for all IT services, club management software, computer system, phone repairs, contracts and upgrades to ensure minimal disruption to operations.
- Manage and process payroll and all records pertaining to payroll.
- Manage the employee housing billing and agreements.
- Maintain records of employee meals in conjunction with housing.
- Maintain necessary procedures for confidentiality relating to Club and employee issues.
- Work with the General Manager and Membership Director in administering employee benefits including health and life insurance, and workers’ compensation.
- Plan professional development and training activities for staff.
- Hire, train, and manage the front office staff.
- Maintain standard operating procedures for seasonal front office tasks.
