Controls Dispatch / Customer Service Representative

Description:

The Controls Dispatch / Customer Service Representative is an integral first point of contact for our team.

This position serves as the liaison between our Customers and our Team Members.

Requirements:
  • Answer incoming phone calls and direct/assist callers accordingly in a positive welcoming manner.
  • Schedule service calls with our customers and technicians according to their priority and urgency.
  • Communicate with vendors to get updated pricing and lead times on parts to provide quotes to customers for approval.
  • Schedule approved repair quotes with customers and assign them to the appropriate technicians.
  • Work with all Leaders to schedule technicians appropriately for each Department and cross Department projects.
  • Create new customer profiles in our Dispatch System (BuildOps) and update as contacts change.
  • Assist with the procurement, delivery and return of parts and materials.
  • Communicate with vendors in filing warranty claims to return equipment and receive credit.
  • Ensure materials are logged/handled correctly for consignment items, warranty items and return items.
  • Ensure material list in operations software is kept up to date with proper pricing.
  • Monitor office supply inventory and order when needed.
  • Assists with Time and Attendance and Time and Labor reporting as needed.
  • Assists with / attends training and meetings as needed.
  • Proofread and edit technician notes prior to report being sent to the customer.
  • Reinforce all policies, procedures, standards, specifications, guidelines, training programs, and cultural values.
  • Establish effective working relationships with customers, vendors, and Tri South Mechanical’s team members.
  • Maintain a safe, secure, and healthy work environment by following standards and procedures, complying with OSHA regulations.
  • Support and promote Tri South Mechanical’s Culture, Mission, and Core Values.
  • Other duties as assigned.
