COORDINATOR, DONOR ENGAGEMENT AND MEMBERSHIP SERVICES

Coordinator, Donor Engagement and Membership Services

The Coordinator, Donor Engagement and Membership Services is responsible for all day-to-day execution in support of donations and memberships. This includes processing, tracking, and acknowledging memberships and donor contributions. In addition, this individual will execute concierge ticketing needs for patrons and assist with preparing materials for member pre-sales. They will also work with the Events team on logistical needs and to provide invitation lists for member and patron events, track RSVPs, and manage check-in. This individual will also play a key role in ensuring excellent customer service for the FLC community of members by responding to and resolving inquiries.

PRIMARY DUTIES

Membership Processing

  • Process, track and report memberships and financial contributions in Tessitura database

    • Collaborate with Finance team to reconcile and update financial trackers
    • Process quarterly payments for members
    • Send tax acknowledgements and thank you letters to donors
  • Reconcile weekly memberships and send welcome letters and digital membership cards
  • Compile lists of expiring or lapsed members and coordinate issuing of renewal notices
  • Coordinate membership materials, such as brochures and punch cards as needed
  • Manage requests for external member-related offerings
  • Respond to inquiries about memberships and benefits
  • Work with the Manager, Donor Engagement and Operations on tracking and reporting needs related to memberships

Ticketing

  • Develop materials such as program overview, order forms and screening sign-up sheets needed for concierge ticketing pre-sales

  • Book tickets, as requested, for patrons
  • Coordinate reserved seating

Event Support

  • Work with Donor Engagement team to identify invited guests for patrons and member events

  • Compile invitation lists from database
  • Partner with Events team on approvals and distribution on invitation
  • Manage RSVPs and waitlists and respond to event inquiries
  • Coordinate event materials (e.g. activities, prizes); work with Events team on logistics as needed
  • Manage check-in or other on-site needs at events (occasional evening or weekend work required)
  • Coordinate volunteers to assist with event check-in and other on-site tasks
  • Assist the donor engagement team with additional tasks as needed

QUALIFICATIONS

  • A least 1 year of experience working in Tessitura, including donor records, memberships, contributions, lists and ticketing

  • At least 1 year of experience in donor relations / events

This role is represented by UAW Local 2110.

This role is overtime eligible with a base salary of $68,660.
