Coordinator - Talent Acquisition

Description
This position is responsible for meeting the goals and objectives of the organization by supporting the Talent Acquisition team through administrative coordination, candidate communications, interview scheduling, recruiting system maintenance, and providing a positive candidate experience throughout the hiring process.
Essential Duties and Tasks

Reasonable accommodations may be made, upon request, to enable individuals with disabilities to perform the essential functions. · Coordinate and schedule interviews across multiple locations and time zones, including calendar coordination, interview confirmations, logistics, interview materials, and travel arrangements when applicable. · Serve as a primary point of contact for candidates throughout the interview and hiring process by providing timely communication, follow-up, interview details, next steps, and onboarding requirement updates. · Deliver a positive, high-touch candidate experience by ensuring candidates receive clear, professional, and consistent support from initial scheduling through offer acceptance and onboarding transition. · Maintain accurate candidate records, requisition details, candidate status updates, hiring documentation, and recruiting activity within the Applicant Tracking System, HR systems, and other applicable tools. · Prepare and process offer letters, supporting hiring documentation, background checks, drug screenings, pre-employment requirements, and other offer-related activities in partnership with Talent Acquisition and HR. · Monitor hiring workflows to support timely completion of offer, pre-employment, and onboarding activities, ensuring a smooth transition from offer acceptance to onboarding. · Assist recruiters and hiring managers with requisition coordination, job postings, recruitment inboxes, scheduling requests, candidate inquiries, and other recruiting operations support. · Support recruiting projects, hiring events, recruitment marketing initiatives, employer branding efforts, and other talent attraction activities as needed. · Prepare weekly recruiting activity reports, hiring status updates, candidate tracking reports, and other recruiting metrics or summaries as requested. · Partner with Talent Acquisition, HR teams, and hiring managers to identify opportunities to streamline scheduling, communication, candidate care, compliance documentation, and hiring workflows while maintaining confidentiality and following company policies and applicable employment regulations. · All other duties as assigned.
Qualifications, Education and Experience
· Bachelor's Degree in a related field required; or equivalent combination of education and experience. · 0-2 years experience in a related field experience in a related field required. · Experience using Microsoft Office Suite (Word, Excel, PowerPoint), Visio, Outlook Email, and calendar. · Maintains strict confidentiality and protects privacy of confidential/sensitive information. · Exceptional time management and organization skills. Ability to manage multiple tasks and projects simultaneously establishing priorities to meet deadlines. · Ability to communicate effectively (verbal, written, and presentations) with executive leadership, staff, and internal and external clients. · Proactive; exercises sound judgment and decision-making; able to identify problems and needs and develop solutions and/or options. · Self-confident, self-motivated polished professional who thrives in a challenging, fast-paced environment.
