Position Summary
The Corporate Human Resources Coordinator provides direct, high-impact support to the Vice President of Human Resources with a concentrated focus on portfolio-wide payroll oversight, timekeeping compliance, and payroll-related HR workflows. This role plays a critical part in ensuring that all properties maintain daily payroll discipline, resolve discrepancies promptly, and follow established HR processes consistently across the multi-state, branded, full-service hotel portfolio. This role will successfully deliver daily administrative support for corporate HR initiatives, employee file management, onboarding tasks, and documentation control.

Key Responsibilities

Portfolio Payroll & Timekeeping Support

  • Provide direct, day-to-day payroll oversight support to the VPHR across all properties.
  • Ensure all GMs/HR representatives complete required timecard reviews, corrections, and approvals ahead of deadlines.
  • Maintain a portfolio-wide log of payroll issues, trends, and repeat discrepancies for escalation to the VPHR.
  • Conduct pre-payroll audits including: hours verification, PTO accuracy, missing punches, pay code validation, and state-compliance checks.
  • Support post-payroll audits by confirming corrections and ensuring adjustments carry forward into subsequent payroll cycles.
  • Assist in preparing weekly payroll compliance reports, metrics, and summaries for HR and Operations Leadership.
  • Support payroll communications, reminders, and follow-up messages on behalf of the VPHR.

HR Administrative Support

  • Assist with onboarding tasks including I-9/E-Verify coordination, digital file setup, background checks, and HCMS employee profile management.
  • Maintain digital personnel files ensuring compliance with federal, state, brand, and portfolio retention standards.
  • Support HR audits (I-9, payroll files, certifications, wage notices, personnel file structure).
  • Maintain HR documentation, templates, SOPs, and corporate forms under direction of the VPHR.
  • Track and organize employee credentials and expiration dates (Food Handler, TABC, OSHA trainings, etc.).
  • Provide administrative support including meeting coordination, scheduling, drafting communications, and preparing HR reports.
  • Support corporate trainings, virtual sessions, compliance meetings, and multi-property HR support calls.
  • Assist Operations and Finance with routine administrative tasks that intersect with HR (invoice routing, document requests, credential tracking).

Brand & Portfolio Standards Compliance

  • Maintain confidentiality and accuracy in handling highly sensitive employee and payroll information.
  • Support a consistent, audit-ready HR file environment across the portfolio.
  • Deliver timely and precise execution of HR workflows that impact brand standards and service culture.

Pre-Requisite Qualifications

Required

  • 2-3 years of HR, payroll, or administrative coordination experience.
  • Strong proficiency with Microsoft 365 (Outlook, SharePoint, Excel, Word).
  • Exceptional attention to detail; strong follow-up and task-tracking discipline.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong written and verbal communication skills.
  • Ability to manage competing priorities in a fast-paced, multi-property environment.

Preferred

  • Experience with Inn-Flow or other payroll/HCMS systems (HRDirect, ADP, WorkDay).
  • Familiarity with multi-state wage and hour laws.
  • Experience supporting payroll audits or timekeeping compliance.
  • Bilingual English/Spanish strongly preferred.
