TITLE: Corporate and Volunteer Coordinator
DEPARTMENT: Administrative
REPORTS TO: Director of Business Operations
STATUS: Full-Time, Non-Exempt
JOB SUMMARY:
Under the Director of Business Operations’ supervision, the Corporate and Volunteer Coordinator plans and executes a range of program support, resource development, corporate relationships, and volunteerism tasks and will be the liaison for BGCCV’s food pantry. This position will be assigned various administrative duties, such as monthly ELOP (Expanded Learning Opportunities Program) billings, and during special events and event planning, the employee will be given tasks to support, organize, enhance, and execute the specific event needs. This position will require occasional work outside of typical 8:00 AM – 4:30 PM business hours. Every consideration will be givento provide the employee with adequate notice. The Corporate and Volunteer Coordinator will be supervised by the Director of Business Operations. Safety is the number one priority for all BGCCV Club Professionals.

- KEY FACTS: 3 Club locations (San Juan Capistrano, Aliso Viejo, and Rancho Santa Margarita Intermediate) serving 1,700 youth a year. 80% of our members qualify for Free or Reduced Lunch. The annual membership fee is $125.00 for youth 7 to 12 and $40.00 for youth 13 to 18.
MAJOR RESPONSIBILITIES:
Corporate Partnerships:
- Create tailored corporate engagement packages that offer meaningful opportunities for collaboration, including sponsorships, employee volunteer programs, and cause marketing.
- Plan and execute corporate events, such as fundraising galas, employee volunteer days, and corporate social responsibility (CSR) initiatives.
- Collaborate with corporate partners to ensure their branding and sponsorship commitments are effectively integrated into events.
- Manage event budgets, timelines, and vendor relationships to ensure successful and cost-effective events.
- Evaluate event success through post-event analysis, gathering feedback from attendees and partners for continuous improvement.
Volunteer Management:
- Recruit, onboard, and train volunteers to meet the needs of various programs and events.
- Develop and maintain a volunteer database, ensuring all records are accurate and up to date.
- Coordinate volunteer schedules, ensuring the right match between volunteer skills and organizational needs.
- Create and implement volunteer recognition programs to increase retention and satisfaction.
- Evaluate the volunteer program regularly to identify areas for improvement and growth.
- Facilitate volunteer orientation and training sessions, ensuring volunteers understand their roles and responsibilities.
- Develop and maintain all volunteer background checks, according to the Department of Justice.
Expanded Learning Opportunities Program (ELOP)
Administration and Compliance:
Under the Expanded Learning Opportunities Program (ELOP), the employee will be responsible for overseeing all program-related administrative and billing functions to ensure compliance with state and district requirements.Duties include:
- Preparing and submitting monthly billings, conducting weekly eligibility validations, maintaining accurate enrollment records, and ensuring all required documentation is complete and up to date.
- The employee will coordinate regularly with school district personnel, families, and community partners to verify student eligibility and obtain all required enrollment, attendance, and supporting documentation in a timely manner.
- Employee will monitor deadlines, follow up on outstanding paperwork, and maintain organized records to support program audits and reporting requirements.
- Additionally, the employee will utilize shared resources, databases, and tracking systems to monitor student participation, maintain data accuracy, generate reports, and ensure consistent communication among stakeholders. The position will serve as a key liaison between program sites, school districts, and community partners to support successful program implementation and compliance with ELOP regulations and funding requirements.
Food Pantry:
- Will be responsible for weekly food pantry held in Aliso Viejo, currently every Wednesday, from 8:00 AM to 12:00 PM.
- Will complete and ensure compliance with all training/s as assigned by the pantry provider, Second Harvest Food Bank.
- Will provide weekly numbers and reports as required by Second Harvest Food Bank.
- Will work with volunteers for the food pantry, including recruitment, confirmation of assigned schedules and monthly thank you emails to volunteers for the previous month.
- Ensure the food pantry is set up and cleaned up on schedule so as not to interrupt the Aliso Viejo facility's flow.
Other Responsibilities:
- Provide support to program leaders and facilitators, ensuring resources and materials are available for activities.
- Assist in the onboarding process of staff, ensuring a welcoming and supportive environment.
- Input program data into organizational databases and generate reports as needed.
- Assist with grant reporting and compliance by compiling necessary program data and documentation.
- Prepare, format, and distribute documents such as meeting agendas, minutes, and internal memos.
- Assist in the planning and execution of events such as fundraisers, community outreach programs, and youth activities.
- Plan, organize, train, monitor, and collect data on Emergency Drills and Safety Related trainings.
ADDITIONAL RESPONSIBILITIES:
- May manage special programs and/or events and/or participate in other Club organization activities as requested. Will represent Club via attendance, set up, etc. at events in the community.
- Will be required to drive the Club van periodically.
- Will be required to consult with investors from corporations, foundations, for events, government professionals, etc.
- Will be required to handle other tasks or projects. These tasks will be assigned by your supervisor, the Director of Business Operations.
- Is a California required mandated reporter and supervises and ensures the safety of members throughout the Club.
RELATIONSHIPS:
Internal: Maintains close, daily contact with Club staff (professional and investors) and supervisor to receive/provide information, discuss issues, explain or interpret guidelines/instructions; instruct; and advise/counsel.
External: Maintains contact as needed with external community groups, investors, corporations, foundations, City, and others to assist in resolving problems.
SKILLS/KNOWLEDGE REQUIRED:
- Preferred - 4-year college degree and/or a minimum of 2 years of equivalent/relevant administrative work.
- Ability to work independently in a multi-faceted environment.
- Strong communication skills, understanding of group dynamics.
- Demonstrated organizational and project management abilities.
- Excellent writing and proofreading skills.
- Proficiency with Microsoft Office.
- Demonstrated knowledge of audio/visual equipment use (projectors, screens, televisions, security systems etc.).
- Mandatory CPR, First Aid, and AED Certifications, Training Available after Hire.
- Valid Driver’s License and clear driving record.
- Bilingual (English/Spanish) skills are highly desirable, as this position regularly communicates with students, families, and community partners from diverse backgrounds.
PHYSICAL REQUIREMENTS:
- Use of hands and upper extremities to type and operate computers.
- Manual dexterity to repair equipment.
- Ability to lift 25-50 pounds.
- Ability to sit, stand, and walk to supervise members.
