About the Position

The NYS Executive Chamber is seeking a detail-oriented professional with strong interpersonal skills to serve as a Correspondence Assistant. This position is located within the Office of the Secretary in Albany, NY and serves under the supervision of the Director of Correspondence.

The incumbent will be responsible for inputting all Gubernatorial correspondence to the Intertrac database and answering the Citizens Assistance Phone Line.


This position requires 100% on-site attendance in Albany, NY.


Duties

  • Sort incoming mail delivered thrice-daily to the ECO office.
  • Scan, input, and route all incoming Gubernatorial correspondence, as assigned by the Director.
  • Answer Citizen Services phone line between 9AM-5PM.
  • Tally and log constituents’ issues, opinions, and/or contact information in Intertrac for inclusion in the Weekly Correspondence Report.
  • Provide weekly reports of all incoming calls.
  • Route callers to the appropriate Chamber staff or agency.
  • Refer constituents with difficult or unclear issues to the Director of Correspondence for handling.
  • Maintain a familiarity with state agency roles, functions, and responsibilities, as well as with current issues and events.
  • Assist as a backup for the Proclamations Office Admin.
  • Prepare and distribute accordingly all requests for Governor’s Pen Certificates for passed legislation requested by all Elected Officials.
  • Other duties as assigned.


Knowledge & Skills

  • Technical proficiency with databases for data entry and reporting.
  • Meticulous attention to detail.
  • Ability to manage difficult situations and communicate with empathy and clarity.
  • Capacity to manage multiple concurrent tasks seamlessly without compromising quality or attention to detail.
  • Adept at fostering positive working relationships across internal and external teams.


Qualifications

Specific experience is not required; however, a background working in an office environment or in a high-volume customer service or constituent services role is preferred.

Familiarity with New York State agency functions, as well as current issues and events, is also preferred.


Employment with the New York State Executive Chamber is contingent upon the successful completion of a comprehensive background investigation.


Pay & Benefits

Salary: $45,000-$55,000
