Job Summary
We are seeking a dynamic and detail-oriented Cosmetic Services Coordinator to join our team. The ideal candidate will possess excellent communication skills and a strong understanding of cosmetic dermatology procedures. The Cosmetic Services Coordinator plays a key role in supporting and growing our cosmetic practice through patient outreach, schedule support, marketing coordination, social media management, product inventory tracking, and performance reporting.
Key Responsibilities
Patient Outreach & Follow-Up
- Conduct proactive outreach to cosmetic patients via phone, text, and email
- Follow up with leads from consultations, online inquiries, events, and promotions
- Re-engage past cosmetic patients for repeat services and upcoming seasonal promotions
- Support scheduling coordination, pre-visit communication and post treatment support as needed
- Maintain accurate documentation of outreach, outcomes, and patient status
Performance Tracking & Reporting
- Track cosmetic performance metrics such as: leads and conversions, consultations scheduled/completed, monthly revenue and treatment volume, and promotional campaign performance
- Identify trends in patient activity and help recommend improvements or opportunities
- Maintain clean, organized tracking spreadsheets and reporting tools
Marketing & Social Media Support
- Assist with planning and coordinating cosmetic marketing, events, campaigns and promotions
- Manage and post approved content on social media platforms (e.g., Instagram, Facebook)
- Support content capture workflow (before/after photos, testimonials, event content) following HIPAA consent guidelines
- Monitor messages and respond appropriately or route inquiries to the correct team member
- Maintain a consistent brand voice and help drive engagement and awareness
Product Inventory & Supplies
- Maintain cosmetic product inventory and ensure retail displays are organized and presentable
- Track incoming/outgoing product usage and retail sales
- Assist with ordering and restocking supplies as needed
- Monitor expiration dates, storage requirements, and product organization
- Support retail product promotions and patient education when applicable
General Cosmetic Business Support
- Provide day-to-day support to the cosmetic team as needed
- Assist with preparing patient packets, promotional materials, and cosmetic consultation tools
- Help organize and support events such as open houses, trainings, and patient appreciation promotions
- Ensure cosmetic work areas remain professional, stocked, and patient-ready
- Supports cleanliness and organization of treatment rooms and linens
- Perform other duties as assigned to support business growth and patient experience
Qualifications
- High school diploma or equivalent required; associate degree preferred
- 1+ year of experience in a medical office, cosmetic practice, retail, sales, or customer service preferred
- Strong interpersonal and communication skills (phone, email, and in-person)
- Highly organized and detail-oriented with strong follow-through
- Comfortable with multitasking, deadlines, and patient-facing professionalism
- Ability to maintain confidentiality and professionalism with sensitive patient information
- Social media familiarity (Instagram/Facebook content posting and basic engagement)
- Proficient in Microsoft Office or Google Suite (Excel/Sheets is a plus)
Preferred Skills (Not Required)
- Experience in aesthetics, dermatology, plastic surgery, med spa, or cosmetic dentistry
- Knowledge of cosmetic services (Botox, fillers, lasers, facials, body contouring, etc.)
- Experience using EMR systems or scheduling software
- AI/Canva/basic design tools experience
- Strong sales mindset with a patient-first approach

Pay: $20.00 - $22.00 per hour
