Cosmetic Surgery Patient Coordinator Position
Rancho Cucamonga, CA

The main focus of this position is cosmetic surgery sales, patient coordination/contact
management, and scheduling. Our ideal candidate must possess exceptional customer service, people skills and experience in sales; along with being a self-starter with a passion to excel.
As a Cosmetic Surgery Coordinator, you are a key link in our relationship with the
patient and must constantly strive to provide the highest level of patient care.‬‬

The Patient Care Coordinator is an integral part of our team who will serve as a liaison
between our clinician and our valued patients. The coordinator functions as the
prospective patient’s contact by providing quality service and care from the initial
contact through completed procedures and beyond.

The coordinator should be detail oriented, energetic and motivated with excellent
customer service and team building skills. The position serves as the main contact for
all cosmetic clientele for the practice. The position calls for close work with the
physician who will be closely involved with initial training and guidance.

HOURS: ‬
Monday – Friday 8:30 am to 5:30

MUST HAVE FOLLOWING QUALIFICATIONS: ‬

  • 1+ years of Medical Assistant experience
  • Must have EMR experience (NEXTECH is a Plus) ‬
  • Experience working in a Plastic/Cosmetic Surgery office is a MUST
  • ‬(If no cosmetic experience please do not apply)
  • Must be professional and very well spoken ‬
  • Must be articulate ‬
  • Must be able to answer a multiple line phone system ‬
  • Must be fantastic with patients ‬
  • Must be outgoing ‬

  • Must be able to multi-task
  • Must be customer service oriented
  • Must possess exceptional personal presentation and professional behavior--confident,

poised, familiar with corporate etiquette, and have an outgoing and caring personality,
with strengths in working relationships on all levels – directors, co-workers,
patients and outside business contacts.

  • Take responsibility to promote and grow cosmetic business and increase

consultation to surgery conversion rate.

  • Have the ability to present and implement creative ideas to grow the

cosmetic practice, including but not limited to cultivating patient referrals.

  • Must have the ability to perform multiple diverse tasks simultaneously

and under pressure/deadlines

  • Needs to be driven to meet monthly goals

DUTIES: ‬
The Cosmetic Surgery Coordinator will be responsible for but not limited
to the following: ‬

  • Responds and follows up on patient inquiries via e-mail or phone.
  • Educates prospective patients on procedures of interest.
  • Coordinates phone and face-to-face cosmetic surgery consultations.
  • Coordinates and organizes meetings with new and existing patients with the surgeon(s).
  • Facilitates the financial transactions of cosmetic surgery procedures

(discuss cost and financial payment options).

  • Keeps both surgeons profiles up-to-date on social media.
  • Tracks follow-up calls and assists Marketing to provide pictures/articles

for newsletters and magazine articles.

  • Have working knowledge of our Medical Spa – services and products to

explain how our non-surgical side of the practice can aid with surgical results.

  • ‪Facilitate surgery and office scheduling, meeting with vendors, organize cosmetic seminars

and targeting potential marketing demographics.‬‬

  • ‪Responsible for patient email and telephone inquiries.‬‬
  • ‪Has an understanding of the types of procedures performed in the practice and is able to

communicate the details to prospective patients.‬‬

  • ‪Orients and educates patients and their families by meeting them; explaining / initiating the

care plan; providing educational information in conjunction with direct care providers related
to treatments, procedures, medications, and continuing care requirements.‬‬

  • ‪Maintains professional and technical knowledge by attending educational workshops;

reviewing professional publications; establishing personal networks; benchmarking
state-of-the-art practices; participating in professional societies.‬‬

  • ‪Collaborates with Practice Director on design and production of marketing materials.
  • Maintains and evaluate spreadsheet and data base for marketing and budgeting.‬‬
  • ‪Coordinating information and care requirements with other care providers; resolving issues

that could affect smooth care progression; interacting with involved departments to
coordinate scheduling and completion of tests, procedures, and consults‬‬

  • Keep waiting room and lobby neat and clean ‬
  • Answering telephones ‬
  • Greeting patients ‬
  • Updating and filing patients' medical record ‬
  • Filling out insurance forms ‬
  • Handling correspondence ‬
  • Scheduling appointments ‬
  • Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling

appointments in person or by telephone ‬

  • Comforts patients by anticipating patients' anxieties
  • Answering patients' questions
  • Obtains revenue by recording and updating financial information
  • Recording and collecting patient charges
  • Controlling credit extended to patients
  • Protects patients' rights by maintaining confidentiality of personal and financial information ‬
  • Maintains operations by following policies and procedures

JOB REQUIREMENTS

  • ‬Must possess 3-5 years of sales experience with a MA or bachelor’s degree preferred. This is not an entry level position, thus candidates without prior experience will not be considered.
  • Highly experienced in proper telephone etiquette to include: pleasant greeting, clear speech, inviting tone, and active listening skills.
  • Be versed in using email and internet applications; EMR (electronic medical records) systems; and Microsoft Office programs (including Word & Excel).
  • Proven track record in cosmetic surgery, dermatology or the medical sales industry is helpful.
