Under direct supervision, this is specialized clerical position providing a full range of service support to the Town Court, its stakeholders, and the public involving the processing, recording, and filing accurate court documentation, explaining procedures and services to the public, and providing support to judicial and administrative personnel.

ESSENTIAL FUNCTIONS

  • Interacts with the public, defendants, police department, and legal community daily, in person, on the phone, and via email. Assists both internal and external customers by providing information regarding court policies and procedures, case status updates, and judicial rulings. Routinely handles difficult public contact situations which require diplomacy and tact; performs all services efficiently and with respect for each individual.
  • Creates, researches, and maintains electronic case files, including civil traffic, criminal misdemeanor, and protective order cases and enters data accurately in case management system.
  • Accepts and processes payments and ensures cases are updated accurately. Closely monitors payment history and case status as it is affected by payments. Posts and reviews incoming bonds received from the County Jail. Balances all monies daily and generates financial reports.
  • Performs general legal clerical duties to include, file pleadings and documents, preparing court calendar, pulling files for court sessions, creating and sending notices, summonses, search warrants and other correspondence.
  • Functions as Courtroom Clerk for civil traffic and protective order cases. Assists other Court staff with work duties and completes other tasks as assigned.
  • Complies with the Arizona Code of Conduct for Judicial Employees.
  • Completes Committee on Judicial Education and Training (COJET) hours as required by the Arizona Supreme Court.


REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to communicate effectively both verbally and in written communication.
  • Ability to establish and maintain effective working relationships.
  • Ability to effectively use personal computer hardware and software to the extent necessary to complete job functions.
  • Ability to follow verbal and written instructions.
  • Ability to learn court policies and procedures.
  • Ability to use complex computer record keeping systems
  • Skill in preparing, maintaining, and filing records, documents, letters and report
  • Knowledge of customer service techniques and methods
  • Knowledge of Town and Department policies and procedures
  • Ability to organize work, set priorities, meet critical deadlines and follow up on work assignments with minimal supervision.

MINIMUM QUALIFICATIONS

  • A High School diploma or GED.
  • Two (2) years’ experience in an office or business setting.
  • An equivalent combination of education and experience may be considered.


PREFERRED QUALIFICATIONS:


  • Bilingual in English and Spanish is preferred.
  • One (1) year experience in a judicial or legal setting.

ENVIRONMENTAL FACTORS AND WORKING CONDITIONS

  • Work is performed in an indoor environment.
  • Must be able to lift or move up to fifty (50) pounds.
  • Regular, daily attendance is an essential function for this position.
