JOB
Under the general supervision of the City Secretary, this position manages the functions and day-to-day operations of the City’s Municipal Court. The incumbent in this classification manages, evaluates, and provides leadership to subordinates and performs support functions for court operations as assigned.
EXAMPLE OF DUTIES
Supervises, assign, and monitors work. Trains employees, coaches and evaluates employees.Assists in making recommendations for the development and implementation of programs, policies, and procedures to improve efficiency and increase the productivity of court operations. Conducts regular staff meetings to disseminate information and assess work assignments and backlogs.Coordinate daily activities that include coordinating, planning, and scheduling for customer service, data entry, collections, correspondence, verification, and docketing.Balances collections against computer reports; prepares deposits and reports for accounting; reviews and audits various reports regarding warrant activity, docket scheduling, and fine/costs/bond collections.Investigates resolves and responds to sensitive and non-=routine public inquiries from attorneys, defendants, and citizens for problem resolution; requires independent judgment after appropriate research and analysis.Develops and maintains relationships between Municipal Court and city departments including Municipal Court Judge, City Prosecutor, Police, Fire, Public Works, and other departments.Supervises caseload processing, including defensive driving, deferred disposition probations, judgments, pre-sentence matters, failure to appear, and other related processes.Oversee compliance with court orders for payment of fines, costs, and fees.Coordinates court programs, activities, and dockets with judges, attorneys, litigants, prosecutors, police departments, and other appropriate agencies and criminal justice entities.Conducts research and prepares statistical, financial, and/or narrative information as requested by Director.Assists in preparing and monitoring the Municipal Court budget (revenues and expenditures) in accordance with city policies and procedures.Responds appropriately and promptly to discovery activity and requests for information and/or assistance.Complies with all written City policies and procedures.Liaison between Finance, and Incode with authorization from Director.Attendance; regular and timely attendance during assigned work hours. After-hours and weekend work are required as necessary.Deadlines; ability to set and meet appropriate deadlines. Timely follow-up and follow-through with staff and others. Effectively multi-task and work under time pressure and deadlines.Communications & Record Keeping; ability to read, comprehend, and effectively communicate in English, both verbally and in writing. Communicate effectively and professionally with staff, volunteers, council, and others. Ability to maintain and retain all records and follow the City’s record retention policy.Customer Service; must be professional, respectful, helpful, and polite to staff, volunteers, council members, and others at all times. All work must be performed in a timely and satisfactory
manner.Financial; ensure all expenditures are within budget. Utilize the City’s Procurement Card (P-Card) in an ethical and responsible manner. Submit receipts monthly. Ensure all financial functions, recordkeeping, and reporting are performed timely and accurately and that records are properly created and maintained.Policies & Procedures; perform duties in accordance with City policies, procedures, standards, and comply with local, state, and federal
