Creative Operations Director

Job Overview

Arc Institute is seeking an experienced and highly organized Creative Operations Director to lead our creative production processes. The successful candidate will be responsible for optimizing the workflow of our creative team, ensuring projects are delivered efficiently, on time, and to the highest standard. This is a pivotal role that will bridge the gap between our creative, scientific, and communications teams, streamlining operations to support the institute's mission. This is a full-time position based at our office in San Francisco, California.

Responsibilities

 

  • Develop, implement, and refine operational processes to manage the flow of creative projects from initial brief to final delivery.
  • Oversee all aspects of creative project management, including resource allocation, timeline management, and budget tracking.
  • Lead and mentor a team of creative professionals, fostering a collaborative and high-performing work environment.
  • Act as the primary point of contact between the creative department and other internal stakeholders, ensuring clear communication and alignment on project goals.
  • Manage relationships with external vendors, freelancers, and agencies to ensure quality and cost-effectiveness.
  • Implement and maintain a digital asset management (DAM) system to organize and catalogue all creative assets.
  • Analyze project data and team performance to identify opportunities for improvement and report on key performance indicators to leadership.
  • Ensure all creative output is consistent with the Arc Institute's brand identity and strategic objectives.


Qualifications

 

  • Proven professional experience in a senior creative operations, production, or project management role, preferably within a non-profit, academic, or scientific organization.
  • Demonstrated leadership skills with a track record of successfully managing and developing creative teams.
  • Expert-level knowledge of project management software (e.g., Asana, Jira, Monday.com) and creative workflows.
  • Exceptional organizational, problem-solving, and time-management abilities.
  • Strong financial acumen, with experience managing departmental budgets and project finances.
  • Excellent interpersonal and communication skills, with the ability to articulate complex ideas to a diverse range of stakeholders.
  • A deep understanding of the creative process across various media, including digital, print, and video.
  • A Bachelor's degree in a relevant field or equivalent professional experience is required.
