We are looking for a Credentialing & Administrative Assistant who brings both strong administrative skills and dependable follow-through. This role is a great fit for someone who enjoys keeping things organized, managing important details carefully, and supporting a busy team behind the scenes. Pay

$22.00 per hour

Work Schedule

Monday through Friday, typically during regular business hours, with some variation based on operational needs.

Position Overview

The Credentialing & Administrative Assistant supports provider enrollment, credentialing compliance, onboarding logistics, and day-to-day administrative processes that help the clinic run smoothly. This person will help maintain accurate records, track required documentation, follow up on deadlines, and provide administrative support across departments as needed.

This role is well suited for someone who is organized, detail-oriented, professional, and comfortable handling a high volume of administrative work with consistency and care.

Key ResponsibilitiesCredentialing and Provider Enrollment Support

  • Support credentialing and recredentialing for BCBAs, RBTs, SLPs, OTs, and Clinical Psychologists
  • Assist with provider enrollment and credentialing through CAQH, NPPES, and payor portals such as Aetna, Optum, Medi-Cal, CHAMPS, and PAVE
  • Maintain accurate records for licenses, NPIs, malpractice insurance, certifications, and required provider documents
  • Track expiration dates and follow up on renewals, missing documentation, and required updates
  • Help ensure provider files remain current, complete, and organized
  • Support credentialing-related communication and follow-up with providers, payors, and internal departments
  • Collaborate with the Director of Billing and Credentialing and other team members on provider onboarding and credentialing processes
  • Assist with data entry, file audits, and administrative tracking related to credentialing and enrollment

Administrative Support

  • Maintain organized electronic and physical records, files, and shared documents
  • Assist with onboarding logistics and administrative preparation for new hires and providers as assigned
  • Support internal tracking systems, deadlines, and follow-up tasks to help ensure timely completion of administrative work
  • Help prepare forms, packets, spreadsheets, and other administrative materials
  • Assist with office supply tracking, ordering, and general administrative needs
  • Support communication and coordination across departments to help workflows run smoothly
  • Assist with meeting preparation, scheduling support, and other administrative tasks as assigned

Team Support

  • Work collaboratively with leadership, clinical staff, and administrative team members
  • Communicate clearly, professionally, and with appropriate discretion
  • Contribute to an organized, responsive, and dependable administrative environment
  • Participate in meetings, trainings, and other support activities as requested by management

Minimum Qualifications

  • High school diploma or GED required
  • 1 to 2 years of administrative, healthcare office, provider enrollment, credentialing, or related experience preferred
  • Strong organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple tasks, follow through on deadlines, and stay organized in a fast-paced environment
  • Ability to handle confidential information with professionalism and discretion
  • Strong computer skills and ability to learn new systems quickly
  • Proficiency with Microsoft Office or Google Workspace, including email, spreadsheets, and shared files
  • Fluent in English
  • Ability to work full-time, in person, in Santa Ana, California

Preferred Qualifications

  • Experience with CAQH, NPPES, Medi-Cal, PAVE, CHAMPS, or commercial payor portals
  • Experience in ABA, allied therapies, behavioral health, pediatric healthcare, or multidisciplinary clinic settings
  • Spanish bilingual skills strongly preferred
  • Experience supporting onboarding, compliance tracking, or provider file management

Physical Requirements

  • Ability to sit for extended periods and work at a computer for much of the workday

  • Ability to review documents, spreadsheets, and screens for accuracy
  • Occasional standing, walking, bending, reaching, and lifting or carrying up to 10 pounds
