Responsibilities
- Training: Arrange the training schedules for the crew, update the records, and share with all, including the Operations division and HSEQ division, on a weekly basis.
- Consolidate completed training certificates.
- Through logging, scanning, and updating on the ERP/crewing system and the crew file folders, update the records, and share them with all, including the Operations division and HSEQ division, on a weekly basis.
- Ensure the attendees have attended the training as per schedule, and certificates are received on time.
- Submit a notification report to the supervisor on nearly expiring training certificates and assist with renewal.
- Ensure valid certificate copies are archived in crew files in both soft & hard copies.
- In coordination with the HSEQ team, provide induction and orientation for the new crew.
Crew Management
- Maintain a record for a return ticket and an unused ticket to notify seniors before a no-show.
- Check & verify the credentials submitted by applicants properly and conduct a reference check if required.
- Liaise with the Government Relations team for the visa-related process and procedures.
- Endorse crew PPE and related onboarding matters.
- Ensure that offshore travel documents as per client requirements are valid before their boarding and renewal before the expiry.
- Update crew movement/assignment and related information on the client's portal.
- Arrange renewal of mandatory certificates, medical follow-up, and various client requirements.
- Circulate with the team, receive notifications related to the crew or any matters.
- Submitting crew sign-on/sign-off requests to the client.
- Request transport arrangements for medical or reports, arrange training, and related matters.
Visa Medical and Offshore Medical
- Arrange a schedule for visa and offshore medical for crew and office staff.
- Acquire an update for the release of the medical report.
- Upload/submit the offshore medical result to the client for approval (if required).
Clients Optima Applications
- Prepare the completion of the required documents for the application of the Optima card.
- Encode the application process via the client's portal.
- Check approved application, receive, and encode the client's Optima card.
Crew File & Reporting
- Prepare, update, and maintain crew files by encoding, uploading, and filing.
- Updated and maintain crewing software(s).
- Preparing crew document expiry reports every 15 days.
- Regularly updating crew matrix records.
Qualifications
- Diploma or higher secondary school certificate or equivalent.
- Knowledge using ERP; Knowledge in SCTW95 and flag requirements.
- Computer literate with the ability to learn new software.
- Experience: 3+ years in Crewing Administration.
- Skills: Ability to work in a multi-cultural environment.
- Very organized and able to multitask; good attention to detail; good English communication skills, both oral and in writing.
- Flexible (work may require occasional weekend and/or evening work).
