CRM and Data Systems Specialist

The Theatre Lab School of the Dramatic Arts in Washington, DC seeks a part-time, remote CRM and Data Systems Specialist to strengthen and maintain the systems that support our classes, marketing, fundraising, and overall organizational operations.

This position will work closely with The Theatre Lab’s existing IT Manager, staff leadership, and outside consultants to improve the accuracy, usefulness, and long-term sustainability of our data systems.

The Theatre Lab uses the Zoho suite as its CRM platform and WooCommerce for website-based transactions. Experience with CRMs and e-commerce is required, with Zoho and WooCommerce strongly preferred.

Position Overview

The CRM and Data Systems Specialist will play a key role in organizing, cleaning, maintaining, and improving The Theatre Lab’s data structure so that staff can more easily generate accurate reports, class lists, segmented mailing lists, donor and student records, and other essential information.

This is a hands-on role for someone who is detail-oriented, systems-minded, and comfortable working across databases, websites, CRMs, and reporting tools. The ideal candidate will be able not only to maintain existing systems, but also to help evaluate whether those systems are serving the organization effectively.

Key Responsibilities

· Review, clean, and improve The Theatre Lab’s existing data structures and e-commerce/CRM pathways to support more accurate and efficient reporting.

· Audit and rebuild as necessary Zoho CRM/Creator modules to properly support complex family relationships, class rosters, and donor profiles.

· Develop and support segmented mailing lists for marketing, fundraising, student communication, and audience engagement.

· Maintain and update records within The Theatre Lab’s CRM and related data systems.

· Work with The Theatre Lab’s IT Manager to ensure data systems are well organized, secure, and usable by staff.

· Coordinate with outside consultants on e-commerce, CRM, database, and integration issues.

· Troubleshoot and resolve data-related problems involving Zoho, WooCommerce, website transactions, mailing lists, and related systems.

· Help assess the effectiveness of current CRM, website tools, workflows, and outside consultant relationships, and make recommendations for improvement.

· Document data processes, workflows, and system structures so that staff can use them consistently.

· Support staff in accessing, interpreting, and using data for program, marketing, fundraising, and administrative needs.

· Maintain, update, and improve The Theatre Lab’s data systems as organizational needs evolve.

Qualifications

· Experience with CRMs and e-commerce is required, with Zoho and WooCommerce strongly preferred.

· Ability to design and maintain data flows between online registration systems, CRMs, mailing lists, and reports.

· Excellent attention to detail and a commitment to data accuracy.

· Ability to communicate clearly with both technical and non-technical staff.

· Comfort working collaboratively with a small internal staff and outside consultants.

· Strong problem-solving skills and the ability to recommend practical improvements.

Desired Skills

· Familiarity with email marketing segmentation and mailing list management.

· Experience evaluating CRMs and website platforms.

· Experience with Zoho and WooCommerce.

· Experience with nonprofit, arts, education, fundraising, or marketing data.

Pay: $40,000.00 - $45,000.00 per year
