We are seeking a highly organized, data-driven CRM Specialist to manage, optimize, and scale our customer relationship management system—with a strong preference for HubSpot.
In this role, you will be the backbone of our sales and marketing alignment. You will be responsible for structuring our data, automating workflows, tracking leads from initial contact to closing, and creating clean, actionable reports. The ideal candidate knows how to turn a cluttered CRM into a well-oiled lead generation machine that helps the sales team close deals faster.
Key Responsibilities
- HubSpot Administration: Manage the day-to-day operations of the HubSpot platform, including user permissions, custom properties, and data cleanliness.
- Pipeline & Workflow Automation: Design, build, and maintain automated workflows, lead scoring systems, and sales pipelines to ensure smooth handoffs between marketing and sales teams.
- Data Integrity & Management: Implement regular data cleaning, deduplication, and data mapping protocols to ensure the database remains highly accurate and reliable.
- Lead Tracking & Attribution: Monitor and optimize lead capture forms, tracking URLs, and integration points to accurately attribute lead sources.
- Reporting & Analytics: Build custom dashboards and reports for leadership to track sales performance, pipeline health, conversion rates, and team productivity.
- Team Training & Support: Act as the internal expert, onboarding team members and creating simple documentation to ensure proper CRM usage across departments.
Required Skills & Qualifications
- Experience: 2–4 years of hands-on experience managing CRM platforms, with a strong, verifiable track record specifically using HubSpot (Sales, Marketing, and Service Hubs).
- Technical Proficiency: Deep understanding of contact management, deal pipelines, sequence automation, and integrating third-party tools (such as Meta Ads, Google Forms, or WhatsApp APIs) with HubSpot.
- Analytical Mindset: Exceptional ability to look at customer data, identify bottlenecks in the sales process, and recommend operational fixes.
- Attention to Detail: Meticulous approach to data formatting, consistency, and organizational structure.
- Communication Skills: Ability to translate complex technical processes into clear, simple instructions for the internal sales and management teams.
Preferred (Nice-to-Have)
- Official HubSpot Certifications (Inbound, HubSpot Sales Software, or HubSpot Marketing Software).
- Basic understanding of marketing operations, lead generation, or real estate/commercial sales cycles.
