About This Role

Join our family-owned jewelry business as a Custom Orders Coordinator, where you'll be the critical link between our sales team, customers, and vendors. As a Custom Orders Coordinator, you'll manage the entire lifecycle of custom and special orders—from simple modifications to fully custom designs. You'll work closely with vendors, ensure quality standards are met, and keep orders moving efficiently through our production process.

What You'll Do

Order Management & Vendor Coordination:

  • Review special orders entered by sales associates
  • Interface with vendors to place orders, clarify specifications, and manage timelines
  • Track order progress and follow up to ensure on-time delivery
  • Manage turnaround times ranging from 1-12 weeks depending on complexity
  • Communicate updates to sales team and production management

Quality Control & Processing:

  • Inspect incoming orders to ensure they meet specifications
  • Identify and resolve any quality issues before pieces reach customers
  • Process completed orders for sale through our system
  • Coordinate with bench jewelers when additional work is needed

Administrative & Systems:

  • Maintain accurate records in our system
  • Use Microsoft Office Suite (Outlook, Teams, SharePoint) for communication and documentation
  • Coordinate with your fellow Custom Orders Coordinator to balance workload
  • Assist with seasonal volume fluctuations

What We're Looking For

Essential Qualities:

  • Strong attention to detail - accuracy is critical when managing custom orders
  • Excellent written and verbal communication - you'll interface with vendors and internal teams daily
  • Organizational skills - juggling multiple orders with different timelines
  • Problem-solving ability - issues will arise, and we need someone who can think through solutions
  • Proficiency with Microsoft Office (Outlook, Teams, SharePoint)

Valuable Experience (Not Required):

  • Previous experience managing vendor communications or special orders
  • Background in jewelry retail, manufacturing, or custom production
  • Familiarity with quality control processes
  • Experience with ERP or inventory management systems

What's Not Required:

  • Prior experience with the Adaptive Jewelry system (we'll train you)
  • Formal jewelry education (though a plus if you have it)

Total Compensation & Benefits

Base Compensation:

  • Hourly Rate: $18.00 - $21.00/hour ($37,440 - $43,680 annually)
  • Paid based on experience and skills
  • Performance-based bonus opportunities

Total Compensation Package: $52,063 - $62,990+ annually

Work Environment & Schedule

  • Location: Knoxville store
  • Schedule: Full-time (specifics to be discussed)
  • Team: Reports to Production Assistant Manager, works alongside one other Custom Orders Coordinator
  • Environment: Professional office setting within our production area
