Position Overview
The Customer Account Coordinator is responsible for managing the full customer journey—from initial inquiry through order completion and follow-up. This role is critical to ensuring accuracy, organization, and a high-quality customer experience.
You will serve as the central point of communication between customers, operations, and finance—ensuring nothing falls through the cracks.
Please note: This role is best suited for someone who thrives on accuracy, takes pride in getting the details right, and naturally double-checks their work—if you prefer a fast-paced role without a strong focus on detail, this position will not be a fit.
Key Responsibilities
Customer Communication & Support
- Respond promptly to all customer inquiries via phone and email
- Serve as the primary point of contact for customer questions, updates, and issue resolution
- Proactively communicate order status, timelines, and any delays
Project Intake & Quoting
- Complete project intake forms for all new customer requests
- Enter, maintain, and update quotes in the system
- Follow up on open quotes to drive customer decisions and improve close rates
Order Management
- Enter, process, and maintain sales orders with a high level of accuracy
- Verify all shipping, billing, pricing, and purchase order details prior to processing
- Audit customer purchase orders for accuracy, including pricing, quantities, terms, and delivery requirements
Cross-Functional Coordination
- Work closely with operations to ensure production timelines are met
- Collaborate with finance on billing, terms, and discrepancies
- Act as the liaison between departments to ensure smooth and accurate order execution
Customer Experience & Retention
- Follow up with customers after order completion
- Send and track customer satisfaction surveys
- Identify opportunities for repeat business and strengthen customer relationships
Systems & Process Management
- Utilize Newport’s manufacturing software and internal systems effectively
- Maintain accurate and organized customer and order data
- Identify and suggest process improvements to enhance efficiency and customer experience
Additional Responsibilities
- Support warehouse operations as needed in the absence of the Warehouse Lead

Pay: $55,000.00 - $62,000.00 per year
