Customer Administration Coordinator

We are seeking a highly organized and customer-focused Customer Administration Coordinator to support our work with the Energy Saver North Carolina Program. In this role, you will help homeowners access free or reduced-cost energy-efficiency equipment and home improvements that increase comfort, reduce utility costs, and improve energy efficiency.

This is an ideal opportunity for someone who enjoys helping people, communicating professionally, and managing administrative processes in a fast-paced environment. You’ll play a key role in guiding customers through the program process while contributing to meaningful environmental and community impact across North Carolina.

(Training will be provided for all program-specific processes and technical requirements)

Key Responsibilities

  • Review and refine measures from energy audit reports and communicate refinements clearly to customers and program representatives (training provided)
  • Communicate professionally with Energy Saver North Carolina program representatives, customers, and internal team members via email and phone
  • Prepare customer invoices and supporting documentation
  • Walk customers through invoices, program details, and next steps in a clear and friendly manner
  • Manage incoming calling and emailing during allocated hours
  • Manage responses and feedback from the program and coordinate corrections or file updates with customers as needed
  • Maintain accurate records and ensure files are organized and complete
  • Provide excellent customer service throughout the customer journey

What We’re Looking For

  • Strong computer literacy and confidence learning CRM systems
  • Professional customer service or administrative experience
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and deadlines effectively
  • Comfortable communicating with customers and program representatives professionally and confidently
  • Positive attitude with strong problem-solving abilities
  • Experience with invoicing, program administration, or data entry is considered an asset

Pay: $40,000.00 - $50,000.00 per year
