Customer Care Representative-Healthcare

Customer Care Coordinator

Reliable Medical Supply, a family-owned company serving the Kansas City area for nearly 20 years, is seeking a Customer Care Coordinator to join our team. This role ensures a seamless experience for patients, clients, and healthcare providers by managing inquiries, coordinating orders, and supporting daily tasks.

Key Responsibilities:

  • Handle incoming calls, provide excellent customer service, and troubleshoot basic HME equipment issues.
  • Accurately enter patient data, including demographics, physician information, diagnosis, and insurance details.
  • Obtain necessary medical documentation for insurance claim submissions.
  • Schedule patient appointments, deliveries, and retail product rentals.
  • Monitor and review open orders for accuracy and completion.
  • Greet and assist retail customers, recommend appropriate products, and maintain showroom inventory.
  • Ensure compliance with Medicare and insurance billing requirements for HME products.
  • Collaborate with physicians, hospitals, and internal departments to facilitate timely and accurate order fulfillment.
  • Assist in optimizing tools, automation, and processes to enhance efficiency and customer satisfaction.
  • Support the implementation of new technologies and processes to improve customer experience and workflow.
  • Maintain knowledge of current HME products, services, and industry regulations.

Qualifications & Skills:

  • Proven experience in customer service, client support, or a related role.
  • Strong phone and in-person communication skills with active listening abilities.
  • Familiarity with computer systems and a willingness to learn new processes.
  • Ability to multitask, prioritize tasks, and manage time effectively in a fast-paced environment.
  • Preferred experience: DME industry, doctor's office, or other healthcare office settings.
  • Not a call center role: Face-to-face customer service experience is required.
  • Previous experience in roles such as Bank Teller, Financial Assistant, or Doctor’s Office Administrator is a plus.
  • Basic knowledge of Medicare and insurance billing for HME products is beneficial.
