Customer Service & Admin (Female)

JOB OVERVIEW

As the Customer Service & Admin at Infinite Sports, you will play a pivotal role in ensuring the smooth operation of our extracurricular activities (ECAs), infinite active, infinite camps, academy rentals and community bookings across all locations within KSA (Riyadh). You will be the primary point of contact for managing bookings, handling inquiries, and conducting audits to maintain high-quality standards for both providers and facilities.

ROLES & RESPONSIBILITIES

1. Booking Management: Coordinate and manage all bookings for bookings/activities across Infinite Sports locations. Maintain accurate records of bookings, ensuring efficient scheduling and utilization of facilities. Collaborate with providers and internal teams to resolve any scheduling conflicts or issues promptly.

2. Customer Service: Serve as the first point of contact for new inquiries regarding ECAs, providing detailed information on available programs, scheduling, and registration procedures, invoicing and ensuring no invoices are overdue. Respond promptly to inquiries via phone, email, or in-person interactions, offering exceptional customer service and personalized assistance.

3. Audits and Quality Assurance: Conduct regular audits on both providers and facilities to ensure compliance with Infinite Sports standards and regulations. Evaluate the quality of services provided by external vendors and assess the suitability of facilities for hosting ECAs. Identify areas for improvement and implement corrective actions to enhance the overall experience for students and stakeholders.

4. Administrative Support: Provide administrative support to the operations team, including data entry, document management, standard operating procedures documentation and report generation. Assist in the development and implementation of operational policies, procedures, and guidelines to streamline processes and improve efficiency.

5. Compliance: Work closely with the Ops team collecting all needed compliance documents of providers. Reminding providers of any documents which are expiring and uploading new documents. Collate, store and organize all documents from providers to a shared drive for easy access and navigation.

6. Reporting: The Customer Service & Admin is responsible to report to Admin Manager and Academy Manager – Infinite Sports LLC/ Absolute Sports LLC. Daily reports are mandatory.

7. Marketing Support: Responsible for uploading Instagram Stories, attending event, parent engagement, promoting the academies, collection of leads, follow ups and reporting on conversions, recording of leads and customer lifecycle. Flyer distribution. Generating ideas on how to grow the academy.

8. Program designing: Coordinate and deliver an age-appropriate camp program that brings out the best in the child in a fun environment.

9. Collaboration with School Staff: Work closely with the school staff to ensure alignment with the aims and objectives of the program.

10. Parental Engagement Events: Lead and coordinate termly events to engage parents and guardians, fostering a supportive and informed community.

11. Stakeholder Communication: Take the lead in all communications with stakeholders, including staff, students, and parents, ensuring clarity and transparency.

12. Compliance with School Policies: Adhere to all school policies and procedures, maintaining high standards of conduct and professionalism.

13. Social Media Leadership: Lead and manage all social media channels to promote the achievements and activities of the program.

14. Additional Tasks: Complete any other tasks or responsibilities as requested by management, demonstrating flexibility and commitment to program success.

15. Camp Management: Hosting and management of Holiday camps.

16. Uniform Inventory and Management: Oversee uniform inventory, coordinate timely orders, and ensure all players are equipped with proper attire for games and training.

Key Requirements:

High School Diploma or Equivalent qualification

Fluency in English

Arabic would be an advantage.

Certification or training in customer services, office administration or related areas.

Flexibility: Adaptability to handle changing priorities, workload fluctuations, and evolving customer needs.

Computer literacy: Proficiency in using computer applications such as MS Office Suite and customer relationship management (CRM) software.

Personal Competency:

Strong communication skills, both verbal and written, for effective interaction.

Customer-centric approach, ensuring exceptional service delivery.

Organizational prowess to manage tasks efficiently and prioritize effectively.

Problem-solving abilities to address customer inquiries promptly and efficiently.

Adaptability to changing priorities and evolving customer needs.

Job Types: Full-time, Contract
Contract length: 24 months

Pay: ﷼4,000.00 per month
