Customer Service & Admin (Female)

JOB OVERVIEW

As a Customer Service & Admin at Infinite Sports, you will play a key role in supporting the daily operations of our extracurricular activities (ECAs), Infinite Active programs, holiday camps, academy rentals, and community bookings across our Riyadh locations.

You will act as the central point of contact for bookings, parent and provider communication, compliance tracking, and quality monitoring, ensuring smooth coordination and high service standards across all programs.

ROLES & RESPONSIBILITIES

1. Booking Coordination :

Manage and oversee all activity and facility bookings across Infinite Sports locations. Maintain accurate scheduling records to ensure maximum facility utilization. Proactively liaise with providers and internal teams to resolve scheduling conflicts efficiently.

2. Customer Service :

Serve as the primary contact for inquiries related to ECAs and programs. Provide clear guidance on program details, registration processes, schedules, and invoicing. Ensure invoices are monitored and followed up to avoid overdue payments. Respond promptly via phone, email, and in-person interactions while maintaining a professional and service-oriented approach.

3. Quality Assurance & Auditing :

Conduct routine audits of providers and facilities to ensure compliance with Infinite Sports standards. Assess service quality and facility suitability for hosting programs. Identify improvement areas and coordinate corrective measures to maintain high operational standards.

4. Administrative & Operational Support :

Provide day-to-day administrative assistance including data entry, document control, SOP documentation, and report preparation. Support the implementation of operational processes to enhance workflow efficiency.

5. Compliance Management :

Coordinate with the Operations team to collect, track, and maintain all required provider compliance documentation. Monitor document expiry dates and ensure timely renewals. Organize and upload all compliance documents to the shared drive for proper record management.

6. Reporting Structure :

Submit daily operational reports to the Admin Manager and Academy Manager – Infinite Sports LLC / Absolute Sports LLC.

7. Marketing & Lead Management :

Support marketing initiatives by uploading Instagram stories, attending events, engaging with parents, promoting academy programs, generating leads, conducting follow-ups, tracking conversions, and maintaining accurate lead records. Assist with flyer distribution and contribute ideas for academy growth.

8. Program Coordination :

Assist in planning and delivering structured, age-appropriate camp programs in a fun and engaging environment.

9. School Coordination :

Work closely with school representatives to ensure program alignment with school objectives and expectations.

10. Parent Engagement Initiatives :

Coordinate and lead term-based parent engagement events to build strong relationships and maintain community involvement.

11. Stakeholder Communication :

Oversee communication with staff, students, parents, and providers, ensuring clarity, professionalism, and timely updates.

12. Policy Adherence :

Comply fully with school and company policies, maintaining high standards of professionalism and conduct.

13. Social Media Oversight :

Manage and monitor social media platforms to highlight program activities, achievements, and announcements.

14. Additional Responsibilities :

Carry out additional duties assigned by management, demonstrating flexibility and a proactive attitude.

15. Camp Operations :

Host and manage holiday camp programs, ensuring smooth execution and participant satisfaction.

16. Uniform & Inventory Control :

Monitor uniform stock levels, coordinate orders, and ensure participants are properly equipped for training and competitions.

Key Requirements:

  • High School Diploma or equivalent qualification
  • Fluency in English (spoken and written)
  • Arabic proficiency is an advantage
  • Certification or training in Customer Service, Administration, or related fields preferred
  • Strong computer skills including MS Office and CRM systems

Job Types: Full-time, Contract
Contract length: 24 months

Pay: ﷼4,000.00 per month
