Customer Service/ Administrative coordinator

Overview
We are seeking a dynamic and organized Customer Service/Administrative Coordinator to join our team! This vital role combines front desk management, customer support, and administrative functions to ensure smooth daily operations. The ideal candidate will be outgoing, energetic, detail-oriented, and possess excellent communication skills, with the ability to handle multiple tasks efficiently.

You will be the first point of contact for visitors and clients, manage essential office functions, and support various administrative processes that keep our organization running seamlessly. This paid position offers an exciting opportunity to develop your skills in office management, customer service, and clerical support within a vibrant environment.

Bilingual (Spanish) preferred

Duties

  • Greet visitors and clients warmly, providing exceptional front desk service and maintaining professional phone etiquette across multi-line phone systems
  • Manage incoming calls, direct inquiries appropriately, and handle customer support with enthusiasm and professionalism
  • Support office management duties including calendar management, appointment scheduling, and coordinating meetings
  • Perform clerical tasks such as filing, photocopying, proofreading correspondence, and managing office supplies inventory
  • Use computer skills with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, presentations, and correspondence efficiently

Experience

  • Previous office experience or administrative support roles demonstrating strong organizational skills and multitasking abilities
  • Familiarity with front desk operations and multi-line phone systems in a professional setting
  • Bilingual proficiency is highly desirable to assist diverse client needs effectively
  • Proven ability to manage calendars, schedule appointments, and handle time-sensitive tasks with precision
  • Strong computer literacy including proficiency in Microsoft Office applications and Google Workspace tools
  • Excellent phone etiquette, proofreading skills, and attention to detail in clerical work are essential for success in this role
