We are looking for an experienced full-time Customer Service and Food Sourcing Associate to support the daily operations of the Central Pennsylvania Food Bank (CPFB) by ensuring efficient order processing, accurate inventory management, and responsive service to agency partners. This position plays a vital role in maintaining the flow of food orders, assisting agency partners with inquiries, and supporting coordination between warehouse, finance, and agency services teams. In addition, the individual supports the Food Sourcing team move excess or slow-moving products by promoting available inventory to agency partners and coordinating timely product distribution.

Job Accountabilities:

  • Receive food orders and enter orders into Primarius software.
  • Run daily inventory sheets and end of day reports.
  • Receive and track payments from agencies and drivers for agency accounts.
  • Support front window with agency partner needs.
  • Produce pick lists in a timely manner to ensure sufficient time for warehouse staff to pull orders prior to agency pick-up or delivery.
  • Close out orders and apply grants to ensure accuracy of billing, working with the Finance department on issues or discrepancies.
  • Troubleshoot issues such as agency partner complaints, product, and transportation issues.
  • Provide customer assistance to agency services and program representatives as needed.
  • Schedule agency pickups and add-on appointments.
  • Assist with pick tickets for Williamsport Healthy Hub orders and creating staging reports for shipments to that location, as needed.
  • Work closely with Agency Services to help market/push products to agency partners.
  • Highlight products on P2 PWW, take photos, and add nutrition details to product card.
  • Assist with creating and maintaining spreadsheets for projects such as push models to partners, pre-orders for holiday seasons, standing orders, etc.
  • Monitor inventory levels to identify slow movers or shortage situations.
  • Coordinate with Dock Manager to keep the front warehouse stocked with product.
  • Support efforts in finding new sources of food including dry, refrigerated, and frozen loads. This would include cold calling, email follow-up, and answering incoming calls.
  • Place purchase orders and utilize inventory system to streamline this process.
  • Monitor the Feeding America website for special offers through the purchasing portal and choose as needed or directed.
  • Work with the warehouse, inventory control, and transportation to understand capacity and forecast needs.
  • Monitor key performance indicators and evaluate the effectiveness, efficiency, and impact of food sourcing activities.
  • Participate in collecting, analyzing, and reporting data on food sourcing activities.
  • Actively support vendor relationship building.
  • Answer and direct phone calls and emails associated with the donation line.
  • Work with Food Sourcing Manager and warehouse to move excess donations.
  • Schedule inbound loads and update truck schedules.
  • Facilitate communications between transportation, food sourcing, warehouse, and agency services (e.g., Obtaining information and quantity from Agency Services regarding holiday items).
  • Support the creating and updating of departmental SOPs.
  • Support special events as needed.
  • Work with other CPFB departments and support other organizations’ needs as required.
  • Participate in CPFB major events as necessary, i.e., fundraisers, agency-wide events, etc.,
  • Participate in internal committees and workgroups as required.
  • Perform other duties and tasks assigned.

Education and Experience:

Education:

  • High school diploma or GED required.
  • Combination of education, experience, and/or training that provides the required knowledge and skills for the position.

Experience:

  • Two years’ customer service experience in a non-profit or human service role preferred.
  • At least one year of experience in complex customer service, accounts management, or project management.

  • Ability to work a flexible schedule.
  • Ability to attend departmental and all-staff meetings as directed, staying informed of ongoing changes in department and overall organization.
  • High standard of professional ethics and conduct; ability to maintain confidentiality.
  • Must be positive, cooperative, honest, and dependable.
  • Ability to operate standard office equipment (machines, tools, devices, calculator, photocopier, fax machine, telephone.
  • Spanish speaking preferred.
  • Knowledge of computer software and systems, including Microsoft Office Suite, department-specific software systems, telecommunications, and internet applications.
  • Willingness and ability to drive a vehicle for job-related responsibilities.
  • Willingness and ability to obtain ServSafe® Certification within 90 days of hire.

Supervisory Responsibilities: None.

Physical Requirements or Licenses:

  • The position is required to work in-office at the discretion of the SVP/Chief Programs Officer or based on the needs of the organization. The nature of this position will require on-site work at the office location.
  • A valid driver’s license with a good driving record.
  • Ability to travel that may include consecutive overnight stays, and traveling by car, bus, or airplane.
  • Conditions may include working closely with others, working alone, and working protracted or irregular hours.
  • Must be able to occasionally lift or move up to 30 pounds.
  • The work environment is typically quiet.
