Role Description
This is a full time, on site role for a Customer Service Assistant located in Riyadh, Saudi Arabia. This position serves as the first point of contact for our clients and visitors, playing a critical role in delivering an exceptional and professional impression of Spectra Wave. The ideal candidate will be a proactive, organized, and friendly professional responsible for providing comprehensive administrative and customer service support.
Key Responsibilities Customer Service & Client Management
- Answer incoming phone calls, greet clients, and professionally record their basic information and service requirements.
- Accurately log all client interactions and potential sales leads into the Customer Relationship Management (CRM) system.
- Proactively follow up with clients regarding quotations and proposals sent to them.
- Conduct post-service and post-quotation client satisfaction surveys to gather feedback and ensure high service standards.
Front Desk & Office Administration
- Greet and welcome all visitors and clients in a warm and professional manner.
- Manage the main reception area, answer phone calls, and direct inquiries to the appropriate department or individual.
- Handle and distribute daily correspondence, including emails, messages, mail, and packages.
- Schedule appointments and manage meeting room bookings to ensure efficient use of office space.
- Assist with a variety of administrative tasks to support office organization and daily operations.
- Provide reliable support to HR and management with assigned daily office tasks.
Qualifications
- High school diploma required; additional qualifications in Office Administration are a plus.
- Strong knowledge of AV Industry is a plus.
- Previous experience in a customer service, receptionist, or administrative assistant role is preferred.
- Fluent in Arabic and English (both speaking and writing) is highly advantageous.
- Strong communication, interpersonal, and customer service skills with a professional phone etiquette.
- Professional appearance and a positive, client focused attitude.
- Good computer skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with CRM software and office equipment (e.g., printers, phone systems).
- Highly organized, reliable, and able to multitask effectively in a dynamic environment.
