The Customer Service Associate/ Administrative Assistant, reporting to the General Manager, will work in a team environment and will be responsible for performing general administrative tasks and providing excellent customer service to our customers. This position will work in a fast-paced warehouse/ office setting.
Position requires Sunday availability. Days off would be Thursday and Saturday.
KEY RESPONSIBILITES:
- Answer and direct phone calls in a polite and friendly manner

Receive customer inquiries, orders, complaints via telephone, facsimile, email, mail, walk-in, or online platform.

Act as point of contact for internal teams and external clients and customers

Process customer requests as quickly and accurately as possible to enhance the company’s image with the customer

Provide customer service by applying & maintaining knowledge of all available products and services from the company
-
Create customer orders and credits in accordance with standard price list or specific customer price levels, applying direction from management as needed

Apply and verify route assignments for customer orders and seek new route assignments when necessary
-
Communicate delivery or procedural changes, inventory shortages, or other applicable issues to customers

Utilize in-house computer systems and software, as well as customer software and databases to process customer orders, perform price adjustments, and/or communicate with customer

Expedite the fulfilment of customer orders by alerting warehouse staff

Complete invoice paperwork and prepare invoice and other delivery documents for delivery route

Receive delivery documents from completed delivery routes and review paperwork for returns information, invoice changes, notes, signatures, and other applicable criteria

Maintain contact lists and databases, including creation and maintenance of customer and vendor files.

Consult with sales team and/or management team on customer, invoice, or product questions as well as customer feedback and service improvement initiatives

Provide administrative assistance to delivery drivers regarding missing products, customer returns, order or pricing inaccuracies, money collection, delivery timing issues, etc.

Catalogue accounts receivable and accounts payable paperwork using scanner and document management software

Create regular reports as assigned and distribute accordingly by USPS mail, email, in-person, or other methods.

Schedule appointments for customers and vendors if needed

Collect and process customer payments when needed using cash register or credit card processing machine

Prepare communications such as memos, emails, invoices, reports, and other correspondence

Retrieve, distribute, and process incoming USPS mail. Prepare and apply postage to outgoing USPS mail

Create and maintain filing systems, both electronic and physical

Operate standard office equipment, including but not limited to computers, tablets, mobile phones, facsimile machines, telephones, calculator/adding machines, scanning devices, copy devices, postage machines, credit card processing machines, etc.

Assist accounts receivable and accounts payable when needed

Greet, direct and support visitors as needed when reception/lobby is unattended

Train new team members as requested by management
POSITION REQUIREMENTS:

High School Diploma or Equivalent

Ability to fluently speak, read and write English language

Professional verbal and written communication skills

1+ years of experience in Customer Relations

Proven track record of providing solutions to difficult issues

Exceptional prioritization and time management skills

Computer Literacy across multiple platforms, including but not limited to Office365 suite
