Compensation: $55,000–$65,000 annually + $6,000 annual vehicle allowance
About the Role: Service Coordinator
Micronix Systems is seeking a highly organized and customer-focused Service Coordinator to serve as the operational hub of our service department. This role is responsible for coordinating technician schedules, dispatching service calls, managing preventive maintenance appointments, ordering parts, and keeping customers informed throughout the service process.
The ideal candidate is detail-oriented, proactive, comfortable communicating by phone, and able to manage multiple priorities without letting important details fall through the cracks.
Key Responsibilities
- Manage and maintain daily and weekly schedules for field service technicians.
- Dispatch technicians based on location, expertise, customer needs, and service priority.
- Coordinate and schedule preventive maintenance (PM) visits to ensure completion within contractual service windows.
- Triage incoming service requests and emergency calls, assigning resources quickly and efficiently.
- Adjust schedules as priorities change due to emergencies, cancellations, or parts availability.
- Optimize technician routes and workloads to maximize efficiency and minimize travel time.
- Order parts and consumables required for repairs, maintenance visits, and service calls.
- Track open orders and follow up with manufacturers and vendors regarding availability, lead times, backorders, warranty claims, and RMAs.
- Ensure technicians have the necessary parts and materials before arriving on-site.
- Provide customers and technicians with updates regarding parts status and expected delivery timelines.
- Serve as the primary point of contact for service customers regarding scheduling, service status, and technician arrival times.
- Confirm appointments and communicate schedule changes proactively.
- Respond to customer inquiries and service requests in a professional and timely manner.
- Maintain strong customer relationships through clear and consistent communication.
- Create, update, and close service work orders within the company’s service management system.
- Maintain accurate equipment records and service histories.
- Ensure completed work orders contain all necessary documentation for billing and reporting purposes.
- Track open service calls, PM completion rates, and outstanding parts orders.
Qualifications
- Previous experience in service coordination, dispatching, scheduling, customer service, operations, or a related role preferred.
- Strong organizational and multitasking skills.
- Comfortable handling a high volume of phone and email communication.
- Excellent attention to detail and follow-through.
- Strong problem-solving skills and ability to adapt to changing priorities.
- Proficiency with Microsoft Office and service management or scheduling software.
- Ability to effectively coordinate field technicians across a multi-state service territory (Maryland to Boston).
