Customer Service Data Entry Assistant (Temp to Hire)

Position Summary

The Customer Service Data Entry Assistant provides vital administrative support to the Customer Service department. This role focuses on accurate data entry, file organization, document uploading, customer file maintenance, and general administrative assistance. The position helps ensure smooth workflow, timely processing of information, and reliable support for various projects and customer service operations.

Customer Service Support

  • Accurately enter customer information, pricing updates, and order data into internal systems.
  • Help maintain and update customer files, ensuring accuracy and completeness.
  • Assist with uploading and organizing customer documents, reports, and shipment confirmations.
  • Provide basic support in responding to customer inquiries by preparing information for Customer Service Coordinators.
  • Help prepare customer communication materials, such as confirmation emails or documentation packets.

Data Entry & File Management

  • Enter data into spreadsheets, tables, and shared files with a high level of accuracy.
  • Organize digital folders and ensure documents are stored according to internal naming conventions.
  • Perform routine audits to ensure files, reports, and customer information are current.
  • Assist with generating simple daily, weekly, or monthly data reports as directed.

Order & Shipping Coordination Support

  • Upload order files, packing lists, and shipping documents for Customer Service Coordinators.
  • Assist with tracking order status and updating internal spreadsheets.
  • Prepare files needed for shipping carriers such as FedEx, UPS, or USPS.

Cross Department Assistance

  • Provide administrative support for special projects in HR, Customer Service, and Operations.
  • Assist in gathering information and preparing documents needed for department meetings.
  • Support efficiency improvements by keeping records organized and easily accessible.
Requirements:

Qualifications & Experience

  • 1–2 years of administrative, data entry, customer service, or clerical experience.
  • Strong attention to detail, accuracy, and organization.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Comfortable working in a fast-paced, team-oriented environment.
  • Proficiency in Microsoft Office (Excel, Outlook) and general computer systems.
  • Excellent written and verbal communication skills.
  • Willingness to learn new systems and adapt to changing department needs.

Work Environment & Physical Requirements

  • Standard office environment with extended periods of computer work.
  • Occasional lifting of boxes or files (up to 25 lbs).
  • May require repetitive motions such as typing, scanning, and document handling.
  • Regular business hours with possible overtime during busy periods.
