Job Description
We are a locally owned HVAC company in Cocoa, FL seeking a dependable and organized Customer Service & Dispatch Associate to support daily office and service operations.
This role is primarily responsible for answering customer calls, scheduling and dispatching technicians, and handling general office support tasks. The position requires strong attention to detail, the ability to multitask, and comfort working in a fast-paced service environment.
Responsibilities:
- Answer incoming phone calls and emails in a professional and timely manner
- Schedule service appointments and dispatch technicians
- Enter and maintain accurate customer records and job notes
- Assist with permit applications and related administrative tasks
- Support general office operations (filing, printing, document handling)
- Assist with light administrative and marketing tasks as needed
- Help with weekly shared office responsibilities
Requirements:
- Strong communication and customer service skills
- Ability to multitask and stay organized under pressure
- Basic computer skills (email, data entry, scheduling systems)
- Comfortable using office equipment (phone systems, printer/scanner, etc.)
- Dependable, punctual, and detail-oriented
- Previous office or customer service experience preferred
Additional Expectations:
- Weekend phone coverage is required on a rotating schedule
- Must be willing to assist in multiple areas of the office as needed
- Team mindset—everyone contributes to keeping operations running smoothly
Nice to Have (Not Required):
- HVAC or service industry experience
- Familiarity with permits or municipal processes
- Spanish-speaking ability

Pay: $14.50 - $17.00 per hour
