Position Summary

We are seeking a detail-oriented and highly organized Transportation & Service Dispatch Coordinator to join our dynamic logistics team. This hybrid role combines core dispatch operations with transportation tracking, vendor coordination, and customer service responsibilities. The ideal candidate will manage inbound and outbound shipments, dispatch service calls, optimize routing, and collaborate with internal teams to ensure timely and efficient logistics operations.

Key Responsibilities Dispatch & Scheduling

  • Coordinate and schedule service calls, dispatching personnel and vehicles efficiently.
  • Assign and monitor domestic inbound/outbound shipments using GIS/GPS and tracking systems.
  • Schedule LTL and courier services according to customer requirements.
  • Dispatch drivers, technicians, or field staff based on workload and service priorities.

Transportation Monitoring & Vendor Coordination

  • Track the on-time performance of third-party vendors and internal agents; escalate delays or exceptions.
  • Maintain compliance with TSA/IAC documentation and vendor accountability.
  • Utilize transportation management systems (e.g., Oracle TMS, SyteLine) for planning and monitoring.
  • Collaborate with fleet and warehouse teams to ensure vehicle and shipment readiness.

Customer Service & Communication

  • Serve as the liaison between drivers, clients, and internal departments through calls, emails, and dispatch systems.
  • Respond to service and transport inquiries, providing exceptional phone and email support.
  • Maintain professional communication with vendors and support functions like Accounts Payable and Customer Service.

Data Management & Process Improvement

  • Perform accurate data entry, maintain shipment records, and generate performance reports.
  • Analyze transportation workflows and contribute to continuous improvement of logistics processes.
  • Assist with packaging, documentation, and shipment consolidation instructions.

Required Skills & Qualifications

  • 6+ months experience in transportation, dispatch, or logistics operations.
  • Proficient in GIS/GPS tools, Excel, Word, email, and transportation software (Oracle TMS, SyteLine preferred).
  • Strong multitasking, problem-solving, and communication skills.
  • Ability to perform accurate data entry while managing multiple concurrent tasks.
  • Familiarity with TSA/IAC regulations, domestic shipping practices, and vendor management.
  • Bilingual or multilingual communication skills are a plus.
  • High school diploma or equivalent required.

Physical Requirements

  • Must be able to stand/walk for extended periods, push, pull, bend, reach, and lift up to 49 lbs with or without reasonable accommodation.
