Customer Service Dispatcher

We are seeking a reliable and organized HVAC Office Dispatcher to coordinate service calls, manage scheduling, and provide excellent customer service. This role serves as the communication hub between customers, technicians, and management to ensure efficient daily operations and a high level of client satisfaction.

Experience in the HVAC industry or familiarity with ServiceTitan software is not required; however, it is considered a strong asset.

Dispatching & Scheduling

  • Schedule and dispatch HVAC technicians for service, maintenance, and installation calls
  • Optimize daily routes to maximize efficiency and minimize travel time
  • Monitor technician progress and adjust schedules as needed
  • Handle emergency and same-day service requests

Customer Service

  • Answer incoming calls and respond to customer inquiries in a professional and friendly manner
  • Book service appointments and confirm scheduling details with customers
  • Address customer concerns and resolve issues promptly
  • Follow up on completed jobs to ensure customer satisfaction

Administrative Support

  • Maintain accurate records of service calls, customer information, and job status
  • Enter and update data in dispatching software, Service Titan
  • Coordinate with technicians regarding job details, parts, and special instructions

Qualifications

  • Previous experience in dispatching, scheduling, or customer service (HVAC or related field preferred)
  • Strong organizational and multitasking skills
  • Excellent communication and phone etiquette
  • Ability to work in a fast-paced environment and handle high call volumes
  • Proficiency with computers and scheduling software
  • Problem-solving skills and attention to detail

Pay: $23.00 - $28.00 per hour
