- Manage incoming calls with excellent phone etiquette, directing calls efficiently and professionally.
- Maintain accurate records through data entry, filing, and proofreading to ensure all customer information is up-to-date.
- Support office operations by handling administrative tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software.
- Provide exceptional customer service by addressing questions, resolving issues promptly, and supporting clients with their needs.
- Collaborate with team members in a bilingual environment (if applicable) to ensure clear communication and excellent support for diverse customers.
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Previous office experience including clerical work, data entry, filing, and general administrative support.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Proven customer service skills with a focus on professionalism, patience, and active listening.
- Familiarity with multi-line phone systems and phone etiquette standards.
- Bilingual abilities are highly desirable to serve a diverse clientele effectively.
- Experience in office management or as a receptionist—dental or medical receptionist experience is a plus—along with personal assistant or calendar management skills.
- Basic bookkeeping knowledge including familiarity with QuickBooks is advantageous.
- Strong typing skills combined with attention to detail for proofreading and data accuracy.
