We are seeking an energetic and detail-oriented Customer Service Representative to join our dynamic team. In this role, you will be the friendly face and voice of our organization, providing exceptional support to clients and internal teams alike. Your ability to manage multiple communication channels, utilize office management tools, and deliver outstanding customer support will be key to your success. This paid position offers an exciting opportunity to develop your administrative and customer service skills in a fast-paced environment. Duties

  • Respond promptly and professionally to customer inquiries via multi-line phone systems and email, ensuring clear communication and positive interactions
  • Manage front desk operations, including greeting visitors, handling incoming calls, and directing them appropriately
  • Utilize computer skills to perform data entry, maintain accurate records, and update customer information using Microsoft Office and Google Workspace applications
  • Support office management tasks such as filing, proofreading documents, calendar management, and organizing meetings or appointments
  • Assist with clerical duties including photocopying, faxing, filing, and maintaining organized office files
  • Provide excellent customer support by addressing questions or concerns efficiently while demonstrating proper phone etiquette
  • Collaborate with team members to streamline office workflows and improve overall organizational efficiency

Requirements

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Prior experience using multi-line phone systems and front desk procedures
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Exceptional phone etiquette and customer service skills to foster positive relationships with clients and visitors
  • Experience with QuickBooks or bookkeeping is a plus but not required
  • Ability to handle data entry accurately while maintaining attention to detail
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous
  • Demonstrated time management skills with the ability to prioritize tasks effectively
