Duties

  • Respond promptly and courteously to customer inquiries via multi-line phone systems, email, and in person, maintaining excellent phone etiquette.
  • Manage front desk operations, including greeting visitors, directing calls, and handling administrative tasks with efficiency.
  • Utilize computer skills to perform data entry, update customer records, and maintain accurate filing systems using Microsoft Office, Google Workspace, and other office management tools.
  • Assist with appointment scheduling, calendar management, and coordinating meetings or events for internal teams or clients.
  • Support clerical duties such as proofreading documents, managing office supplies, and organizing files to ensure smooth daily operations.
  • Perform basic bookkeeping tasks using QuickBooks or similar software to track expenses and invoices as needed.
  • Provide exceptional customer support by addressing concerns promptly, offering solutions, and ensuring customer satisfaction at all times.

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Bilingual abilities are highly desirable to assist a diverse client base effectively.
  • Experience with office management duties such as filing, proofreading, and calendar management.
  • Knowledge of multi-line phone systems and phone etiquette to handle high call volumes professionally.
  • Previous clerical or administrative experience in an office setting is preferred; dental or medical receptionist experience is a plus.
  • Strong time management skills with the ability to prioritize tasks accurately while maintaining attention to detail.
  • Familiarity with bookkeeping software like QuickBooks or similar platforms for basic financial tasks.
