Customer Service Representative

Position Overview

We are seeking a highly organized, detail-oriented professional to join our team as a Customer Service Representative . This position serves as the first point of contact for customers and plays a critical role in supporting daily office operations.

The ideal candidate is friendly, professional, and confident in making decisions independently. They must be able to thrive in a fast-paced environment, manage multiple priorities simultaneously, and maintain a high level of accuracy and attention to detail.

Key Responsibilities

  • Answer incoming phone calls
  • Schedule appointments
  • Provide exceptional customer service to clients and vendors
  • Coordinate technician schedules and respond to scheduling changes throughout the day
  • Process and maintain paperwork, reports, and electronic records
  • Monitor emails and respond promptly to customer inquiries
  • Enter and update information accurately within company software systems
  • Assist with invoicing, work orders, and administrative support tasks
  • Communicate effectively with customers regarding scheduling & job status
  • Identify problems and make sound decisions quickly while maintaining excellent customer service
  • Support daily office operations and assist with special projects as needed

Qualifications

  • Previous experience in customer service, scheduling, reception, dispatching, or office administration preferred
  • Strong computer skills and ability to learn new software quickly
  • Excellent verbal and written communication skills
  • Exceptional organizational and time-management abilities
  • Ability to prioritize multiple tasks and meet deadlines
  • Strong problem-solving and decision-making skills
  • Ability to work independently with minimal supervision
  • High attention to detail and accuracy
  • Positive attitude and strong work ethic
  • Dependable, punctual, and professional appearance
