Position Summary
We are seeking a customer-focused Customer Service Representative to be the primary client contact for incoming orders, quotes, and project coordination. The role requires strong communication, attention to detail, and the ability to translate client needs into accurate job specifications for production. This position supports sales growth by ensuring excellent customer experiences, timely responses, and smooth handoffs to graphic design, prepress and production teams.
Key Responsibilities
- Serve as primary point of contact for phone, email, and in-person customer inquiries; respond promptly and professionally.
- Gather project specifications (quantities, stock, finishing, color requirements, deadlines, file types) and enter accurate job tickets/orders into the system.
- Create and send quotes and confirmations; follow up to secure approvals and payments as needed.
- Coordinate with prepress and production teams to ensure specifications are understood and jobs are scheduled appropriately.
- Review incoming artwork for basic printability (file type, resolution, bleed, color mode) and request corrected files or escalate to prepress as necessary.
- Track job progress and provide proactive status updates to customers; manage expectations and resolve issues or delays.
- Process order changes, rush requests, cancellations, and reprints; document changes clearly for production and billing.
- Maintain accurate customer records, pricing, and job history in our production management software system.
- Assist with account management for repeat customers: renew pricing, set up new accounts, and support basic sales inquiries.
- Participate in continuous improvement: suggest workflow efficiencies, update templates, and help refine quoting/pricing tools.
- Ensure excellent customer service standards and uphold company policies regarding quality and delivery.
Qualifications
- 2+ years customer service experience in commercial printing.
- Prefer experience with large-format printing (banners, signage, vehicle wraps, vinyl, fabric, rigid substrates) including knowledge of substrate selection, finishing, mounting, and common large-format file/setup issues.
- Familiarity with printing processes (digital, offset, large-format), finishing (binding, coating, folding), and common file/artwork issues.
- Proficient with Microsoft Office (Excel, Outlook) and experience with CRM/order management software; willingness to learn industry-specific tools.
- Strong verbal and written communication skills; professional phone manner.
- Exceptional attention to detail and organizational skills; ability to manage multiple jobs and deadlines.
- Problem-solving mindset with ability to remain calm under pressure.
- Basic math skills for estimating quantities and pricing checks.
- High school diploma or equivalent; technical certification or associate degree a plus.
Physical & Work Conditions
- Typical office/shop environment with occasional noise and movement in production areas.
- Ability to occasionally lift up to 50 lbs and walk shop floor to check jobs.
- Standard business hours (weekdays only, no weekends) with occasional flexibility for rush orders or customer needs.
Compensation & Benefits
- Pay range: $20-$24 per hour (dependent on experience)
